This role is responsible for providing best-in-class strategic hotel, venue and vendor sourcing, budget development and contract negotiation, becoming a trusted advisor to multiple clients and showing exceptional cost savings and substantial financial risk reductions.
PRINCIPAL ACCOUNTABILITIES
- Research and recommend optimum destinations, venues, and hotels that align with client objectives and budget,, integrating insights from internal teams
- Utilizing CVENT tools, create RFP, source and evaluate hotels, DMCs, venues, and suppliers, gathering all information and costs for proposal development
- Lead strong negotiations to secure best terms by redlining contracts that incorporate effective terms to provide risk management and overall success of the event
- Build large detailed event budgets, ensuring alignment with client’s parameters and project goals, proactively recommending cost-saving alternatives and value-driven solutions
- Participate in client meetings to present availability options, listening, recommending and readjusting when needed
- Manage and track multiple client projects, including complex SOWs, within assigned hours and deadlines with high efficiency
- Stay on the leading edge of purchasing, with negotiation trends and forecasts for the events industry through deep research and generate strong insights to benefit and enhance client strategies
- Maintain a robust network of hotel and vendor relationships to improve market insights, pricing leverage, and availability.
SPECIFICATIONS
- 8 years of professional experience, including 5 years in client-facing strategic sourcing, negotiation planning, and program management, experience with tech clients or similar fast-paced industries preferred
- Event agency experience is required, with demonstrated success managing complex client SOWs
- Proven experience redlining and negotiating hotel, venue, vendor, and partner contracts, with strong attention to risk management and financial accuracy
- Demonstrated ability to build and maintain strong relationships with at least three major clients, supported by proven negotiation expertise and project management excellence
- Exceptional ability to prioritize and manage multiple projects in a fast-paced, creative environment, remaining calm and solutions-focused under pressure
- Clear, concise verbal and written communication skills and meticulous organization with unwavering attention to detail
- Innovative, resourceful, and enthusiastic approach to overcoming obstacles, engineering solutions, and delivering measurable cost savings, documented via Cost Savings Analysis
- Adaptability with a solution-oriented mindset when facing challenges or changing program needs
- Extensive knowledge of domestic and international travel destinations, hotels & venues
- Advanced proficiency in CVENT sourcing tool, and experience providing analysis via availability grids and decks
- Preferred knowledge of creating large and complex event estimated budgets
