What are the responsibilities and job description for the Event Manager position at streamlinevents?
The Event Manager manages and implements solutions to meet client and program objectives. This role works both independently and collaboratively with cross-functional teams in the fast-paced event industry.
Principal Accountabilities:
- Develop and oversee all pre-planning logistics and on-site program operations including traveling for client meetings, site inspections and on-site program operations
- Build and nurture strong client and vendor relationships
- Administer and reconcile program budget, ensuring accuracy by coordinating with internal team and vendors through planning cycle to final billing
- Initiate and maintain key dates for all components of programs, including Incentive programs, User Conferences, Sales Kickoffs, Technical Summits, Executive Dinners and customer/leadership events
- Negotiate contracts, fully understanding contractual clauses, and coordinate with suppliers including hotels, DMC’s, off-site venues, and caterers, and more
- Collaborate with registration and housing team on hotel room block management, suite and concession assignment, and mobile app needs
- Create and have a clear understanding/experience with event specification documents and distribute to all vendors to ensure accurate execution, including production run of show, emergency procedures, function space assignments, program agendas and more
- Draft clear and creative copy for event websites, event communications and collateral pieces
- Partner with client internal teams to source event marketing and promotional campaign gifts items
- Manage all contracted function space, as well as understanding production needs including managing venue requirements for labor and services.
- Create and maintain inclusive and diverse F&B menus and grids, manage special meals and guarantees, and confirm appropriate service ratios and union requirements
- Collaborate with client branding teams to ensure all program materials adhere to brand standards
- Develop sponsorship and exhibitor prospectus with clients, and track sponsorship payments and deliverables.
Requirements:
- College degree, or equivalent experience required
- 5 years of overall event management experience
- Experience working for a third-party agency preferred
- Strong prioritization skills for managing multiple projects in a fast-paced, creative environment
- Excellent organizational capabilities with clear and effective verbal and written communication
- Adaptable and solution-oriented approach to challenges and opportunities
- Must show proven ability to be flexible and adaptable with last-minute changes, showing poise and confidence to both the client and team.
- Positive and professional interaction with clients and industry professionals
- Effective collaboration with team members to achieve event goals
- Experience with sponsorships/exhibitor management preferred
- Proficiency in Microsoft Office Suite (Word, Excel, PPT) Google Suite, Slack
- Ability to travel (domestic and international) 25-30%
