Strauss Malk & Feder LLP is seeking an experienced Legal Administrative Assistant to join our firm. This is an excellent opportunity for a motivated professional with two or more years of experience to play a pivotal role within a well-established law firm. This position provides administrative and legal support to attorneys across all practice groups, including Litigation, Trusts & Estates, Real Estate, Corporate, and Transactional matters. The ideal candidate will have experience in Litigation and Trusts & Estates, strong organizational skills, and the ability to manage multiple priorities in a fast-paced environment. We are seeking a proactive, detail-oriented professional who enjoys client interaction and takes initiative to anticipate the needs of attorneys, staff, and clients.
Responsibilities:
- Work with attorneys to prepare and finalize legal documents for client execution
- Maintain and organize case files and client records in accordance with firm standards
- Serve as one of the firm’s Notaries
- Assist with court filings and help manage the firm’s litigation docket
- Familiar with the court filing systems ex. Odyssey, PACER, and other nearby counties
- Transcribe dictations and other materials as needed
- Assist with maintaining and organizing the firm’s physical and electronic file vaults
- Process monthly client billing statements
- Answer incoming calls and greet clients and visitors, ensuring a professional and welcoming experience
- Assist with ordering office supplies and maintaining daily office inventory
- Provide general administrative and operational support to the firm as needed
Qualifications:
- Minimum of 2 years of experience providing legal administrative support in a law firm setting.
- Excellent organizational skills and attention to detail.
- Strong written and verbal communication skills.
- Professional, proactive, and client-service oriented demeanor.
