Job Summary: The Construction Administrator is responsible for overseeing and managing construction project activities to ensure compliance with plans, specifications, budgets, and schedules. This role acts as a liaison between project stakeholders, including contractors, architects, engineers, and clients, to facilitate communication and resolve issues during the construction phase. The Construction Administrator ensures that projects are executed efficiently, meet quality standards, and align with the organization's goals for the scope of work for which the company is responsible.

Primary Essential Functions

  • Manage and coordinate construction project activities, ensuring that all work complies with plans, specifications, and regulatory requirements.
  • Serve as the primary point of contact between contractors, architects, engineers, and clients, facilitating communication and resolving construction-related issues.
  • Conduct regular site visits to monitor construction progress, verify that work aligns with project goals, and ensure compliance with safety protocols.
  • Review and process construction documents, including submittals, RFls, shop drawings, and change orders, ensuring accuracy and alignment with project requirements.
  • Maintain and update project records, including daily reports, meeting minutes, and correspondence, to ensure accurate and organized documentation.
  • Assist in preparing and managing construction schedules, budgets, and forecasts, identifying potential delays or cost overruns and recommending solutions.
  • Participate in construction meetings with stakeholders to discuss project progress, address concerns, and ensure alignment on goals and deliverables.
  • Oversee quality control efforts, conducting inspections to ensure that construction work meets design intent and adheres to industry standards.
  • Assist with project closeout activities, including final inspections, punch list coordination, and documentation of lessons learned for future projects.
  • Stay updated on building codes, construction techniques, and industry best practices to ensure compliance and support project success.

  • Comprehensive knowledge of construction processes, materials, and techniques.

  • Knowledge of construction documents, including contracts, drawings, specifications, and submittals.
  • Awareness of quality assurance and quality control standards in construction.

  • Strong organizational skills for managing multiple projects and maintaining accurate documentation.
  • Communication skills for interacting effectively with stakeholders, including contractors, clients, and design teams.
  • Problem-solving skills to address construction issues and recommend effective solutions.
  • Proficiency in project management software and tools for tracking construction progress and managing documents.
  • Negotiation skills for resolving conflicts and ensuring project alignment.

Required

Qualifications:

  • Bachelor's degree in Construction Management, Architecture, Engineering, or a related field.
  • 5 years of experience in construction administration or project management.

Preferred

  • Certification in construction management (e.g., CCM) or related professional credentials.

Physical Requirements

  • Ability to remain seated for extended periods while working at a computer or attending meetings.
  • Frequent use of standard office equipment, including computers, keyboards, telephones, and printers.
  • Occasional light physical activity such as walking, standing, or carrying materials (up to 25 lbs.).
  • Ability to communicate clearly and effectively in person, over the phone, and through written communication.
