As we continue to expand, we are seeking a highly organized and proactive Office Ambassador to support our local office operations and contribute to our team’s success.
Position Summary
The Office Ambassador plays a key role in ensuring smooth day-to-day office functions. This individual will provide administrative support to our real estate agents and leadership, manage office systems, and help maintain a professional and efficient work environment.
Responsibilities
- Greet and welcome guest
- Direct visitors to the appropriate person and office
- Answer, screen and forward incoming phone calls
- Ensure reception area is tidy and presentable, with all necessary stationery and materials
- Maintain a courteous and professional attitude
- Self-management, show personal organization, self-discipline, and dependability
- Handle stress, maintain emotional stability and self-control under pressure, challenge, and/or adversity
- Order and Maintain office supplies. Check inventory weekly
- Distribute incoming mail
- Manage and maintain company roster
- Monthly Agent DRE (Department of Real Estate) License number Audit
- Update Training Calendar
- Communicate to agents by email, text, LunaLista and call for upcoming office and companywide training
- Send out Recruiting letters to Potential Real Agents for the office
- Submit all billing invoices directly to Corporate mailing address or email to the Accounts Payable Department
- Post and engage on Social Media Platforms (Instagram, Facebook, etc.)
- Assist and provide support to manager and real estate agents
Qualifications
- Experience in office administration or a related field
- Excellent communication skills and ability to provide exceptional customer service
- Strong organization skills with the ability to prioritize task and meet deadlines
- Proficient in using Microsoft Office (Word, Excel)
- Excellent verbal and written communication skills
- Ability to handle sensitive information with confidentiality
- Attention to detail and problem solving
- Familiarity with phone systems and general office equipment
- Ability to work independently as well as part of a team
