What are the responsibilities and job description for the Program and Event Support Specialist position at Strategix Management Llc?

The Program and Event Support Specialist plays a crucial role across the NSF Convergence Accelerator. Responsibilities include deliverable management, meeting and event planning, and systems administration. While team collaboration is very necessary, the candidate must also be a self-starter, and be able to start tasks independently while maintaining open communication with team members and the client. This position is primarily virtual, but we are seeking a local candidate available to provide on-site support for occasional meetings in the DC area throughout the year.

Primary Responsibilities:

  • Technology Access and On/Offboarding: Manage access to technology platforms and resources for over 1,500 participants, coaches, federal staff, and support personnel. Conduct onboarding and offboarding procedures efficiently, ensuring a seamless transition for all users.
  • Meeting and Event Planning Support: Develop and conduct meeting research (based on government requirements), coordinate and manage vendors, the registration website, registration reports, and provide a wide range of logistical support for in-person and virtual meetings and events. Assist in the preparation and coordination of meetings to ensure successful outcomes. Must have experience in a wide range of complex events, including large attendee conferences, hybrid meetings and virtual events.
  • Database Management: Maintain up-to-date databases for weekly communications and on-demand program announcements. Ensure data accuracy and consistency, contributing to effective program operations.
  • Help Desk Support: Provide technical support through the program help desk, assisting team project managers in troubleshooting technical issues. Collaborate with colleagues to resolve complex problems and provide clarity and resources for program elements.
  • Support Standard Operating Procedures: In coordination with the senior operations manager, assist in in streamlining operation processes and contributing to standard operating procedures (SOPs).
  • Curriculum Deliverables Management: Streamline and manage the submissions of curriculum deliverables from participating teams. Ensure the ease of distribution while maintaining quality assurance for collateral intended for NSF federal clients, internal stakeholders, and team project managers.

  • Bachelor's degree in a related field.
  • Five to seven years of experience in meeting planning and system administration. Candidate must be familiar with the federal government meeting and travel regulations. It's preferred to have a meeting planning certification.
  • Exceptional organizational prowess, enabling the management of multiple concurrent projects and the ability to thrive in deadline-driven fast-paced environment.
  • Meticulous attention to detail and work quality, ensuring precision and accuracy in all aspects of work.
  • Proven experience working closely with and supporting federal government clients, demonstrating a keen understanding of their unique requirements and expectations.
  • Excellent communication and problem-solving abilities.
  • Technical proficiency with relevant software and tools.
  • Ability to work effectively in a team and collaborate across departments.
  • Must be able to perform other administrative duties such as note capture, reporting, scheduling of meetings, and coordinating deliverable and task feedback.
