POSITION DESCRIPTION
Position Title: Human Resources Coordinator
Reports to: Human Resources Manager / Executive Vice President of Human Resources
POSITION SUMMARY:
The HR Coordinator supports the daily operations of the Human Resources department by assisting with recruitment, onboarding, compliance, and employee data management processes. This role plays a key part in ensuring efficient hiring practices, accurate HR system administration, and compliance with company policies, Collective Bargaining Agreements, and regulatory requirements. The HR Coordinator works closely with store management, HR and Accounting Department leadership and team members, and external partners to support staffing initiatives, maintain employee records, and enhance the overall employee experience.
KEY ACCOUNTABILITIES:
1. Support onboarding processes, including new hire setup, documentation completion, and orientation coordination.
2. Complete hiring steps for store employees, ensuring all required documentation and system updates are accurate and timely.
3. Manage Form I-9 compliance, including verification, tracking, and record maintenance.
4. Support training administration, including IGA training programs, new hire training reports, and tracking training completion.
5. Upload and maintain new hire hours and training records as required.
6. Process and monitor background checks through ADP Screening Services, ensuring compliance with hiring policies.
7. Assist with unemployment claims administration, including documentation and response coordination.
8. Maintain and update employee records, including new hires, rehires, personnel changes (PCNs), and requisitions.
9. Partner with accounting department team members to review HR reporting data.
- Process requisitions in ADP Recruitment Management (RM), including creating, updating, and closing job postings.
11. Administer ADP Workforce Now (WFN) and RM delegations, ensuring proper access and workflow assignments.
12. Provide hiring support to store locations, including candidate sourcing, application screening, and interview coordination.
13. Assist with organizing and participating in job fairs, including preparation of materials and recruitment videos.
14. Screen applications and assist with initial candidate evaluations to support hiring managers.
15. Coordinate and schedule interviews for store and department managers, ensuring a smooth candidate experience.
16. Support onboarding processes, including new hire setup, documentation completion, and orientation coordination.
17. Provide general administrative support to the HR department and assist with special projects as assigned.

POSITION REQUIREMENTS:
- Associate’s or Bachelor’s degree in Human Resources, Business Administration, or related field preferred.
- 1–3 years of HR, recruiting, or equivalent experience preferred.
- Strong understanding of Collective Bargaining Agreements preferred.
- Experience with HRIS systems, particularly ADP Workforce Now and Recruitment Management, strongly preferred.
- Knowledge of hiring processes, onboarding, and HR compliance requirements (I-9, EEOC, etc.).
- Strong organizational, time management, and problem-solving skills.
- Excellent interpersonal and communication skills.
- Ability to manage multiple priorities in a fast-paced, multi-location environment.
- Strong proficiency in Microsoft Office 365 Suite.
WORK ENVIRONMENT:
Office-based role with frequent interaction with HR team members, store management, and job candidates. May require travel to store locations or recruitment events such as job fairs.
