Job Summary
We are seeking a highly organized and proactive Office Manager / Bookkeeper to oversee daily office operations and manage financial records. The ideal candidate will possess strong administrative, bookkeeping, and team management skills, with experience in office environments, event planning, and vendor relations. Duties
- Manage daily office operations, including front desk responsibilities and multi-line phone systems
- Oversee calendar management, scheduling appointments, meetings, and events
- Handle bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and financial reporting
- Manage payroll processing and human resources functions such as employee records and benefits administration
- Coordinate vendor management activities, including contracts and supply procurement
- Assist with event planning and coordination for company functions or client events
- Supervise administrative staff and provide training & development opportunities
- Maintain filing systems, records management, and ensure compliance with organizational policies
- Oversee office supplies inventory and manage procurement processes
- Ensure excellent communication through phone etiquette and professional correspondence
- Support medical office management tasks if applicable
Requirements
- Proven experience in office management, administrative support, or clerical roles within a professional environment
- Strong bookkeeping skills with proficiency in QuickBooks or similar accounting software
- Experience in payroll processing, budgeting, vendor management, and human resources functions
- Excellent organizational skills with the ability to manage schedules effectively
- Demonstrated supervisory experience with team management capabilities
- Exceptional communication skills and professional phone etiquette
- Ability to handle multiple priorities efficiently in a fast-paced setting
- Experience in event planning and coordination is a plus
- Knowledge of medical office management is desirable but not required
- Proficiency in filing systems, calendar management, and training & development activities
