Position Summary
The Project Coordinator supports the planning, execution, and delivery of residential projects for both the residential and commercial divisions from start to finish. This role works closely with the Project Manager to develop project schedules, coordinate labor and material resources, track progress, and maintain accurate project documentation. As a central communication point among internal teams, field crews, subcontractors, suppliers, and vendors, the Project Coordinator ensures all activities remain on schedule and aligned with project requirements. Key responsibilities include assisting with budgeting and procurement, managing material orders and delivery timelines, coordinating job site meetings, identifying potential delays or issues, and preparing project updates and presentations for leadership. Success in this position requires strong organization, clear communication, and the ability to manage multiple priorities in a fast-paced construction environment.
Key Responsibilities
- Assist the Project Manager with developing comprehensive project plans, schedules, and resource allocation strategies for residential projects for the residential and commercial divisions.
- Monitor project progress and maintain accurate, up-to-date documentation, including schedules, reports, and status updates.
- Coordinate activities between internal teams and external vendors to ensure all tasks and deliverables are properly scheduled and completed on time.
- Schedule, organize, and support project-related meetings with the Project Manager, subcontractors, and suppliers, including tracking material deliveries and follow-up action items.
- Support budget management activities by tracking expenditures, managing project-related expenses, and processing invoices as required.
- Identify potential project risks or delays, communicate concerns promptly, and escalate issues when necessary.
- Serve as a central point of contact to facilitate effective communication and timely information flow across project teams.
- Ensure all project workflows comply with organizational standards, operating procedures, and best practices.
- Assist in negotiating pricing and contract terms with vendors to support cost-effective purchasing and maintain budget alignment.
- Prepare presentations, project updates, and supporting documentation for leadership and project review meetings.
Qualifications
- Previous experience in construction or roofing industry required.
- Prior project coordination, administrative, and project support experience.
- Familiarity with construction project workflows, scheduling, and documentation practices.
- Proficiency with CRM systems, proficiency in basic computer applications, and project tracking software.
- Ability to read and interpret roofing documents, work orders, or material lists preferred.
- Strong organization and time-management skills with the ability to manage multiple projects, tasks, and deadlines simultaneously.
- Detail-oriented approach to tracking schedules, documentation, deliverables, and material logistics.
Ability to support budgeting, track expenses, and assist with invoicing processing. - Excellent verbal and written communication skills for coordinating with internal teams, field crews, subcontractors, and suppliers.
- Ability to act as a central point of contact and ensure clear, timely information flow among all project participants.
- Strong, positive relationship-building skills and professionalism when working with team members, vendors, subcontractors, and clients.
