Job Summary
Store & Haul, Inc. is a family-owned, food-grade kosher tanker trucking company based in Van Wert, Ohio. We are looking for a versatile Operations Coordinator whose primary responsibility is safety and compliance, with additional support duties across HR, recruiting, IT, and general operations. This role serves as the operational backbone of the company, ensuring that day-to-day processes run smoothly so that company leadership can focus on growth and strategic initiatives. The ideal candidate is a fast learner who thrives in a dynamic environment, is comfortable using AI tools and technology to accelerate their work and takes ownership of the processes they manage. This position supports safety-sensitive operations and requires strict adherence to regulatory requirements and company safety standards.
Essential Functions
The following duties are considered essential functions of this position:
PRIMARY RESPONSIBILITY: Safety & Compliance
- Review driver safety camera footage on a regular schedule and document findings
- Maintain Driver Qualification (DQ) files and ensure all documentation is current
- Conduct the safety portion of new driver orientation
- Coach drivers on safety issues as they arise, escalating serious concerns to leadership
- Track safety metrics and prepare reports for leadership review
- Assist with DOT audit preparation and recordkeeping
- Monitor compliance deadlines (physicals, CDL renewals, drug testing) and follow up proactively
- This role is accountable for maintaining safety compliance standards and supporting regulatory adherence
SUPPORT: Employee Paperwork, Onboarding & HR (Assist / Backup)
- Assist with employee paperwork and qualification file management
- Support employee onboarding and offboarding processes (orientation scheduling, system access, equipment)
- Serve as backup for on-site recruiting activities (posting jobs, scheduling interviews, candidate correspondence)
- Help create and maintain recruiting and HR Standard Operating Procedures (SOPs)
- Maintain employee records and ensure proper documentation
- Support payroll backup procedures when primary payroll staff is out
SUPPORT: IT & Systems Administration (Assist / Backup)
- Onboard and offboard employees in company systems (Microsoft 365, Samsara, 3CX, etc.)
- Set up and configure equipment for new hires (laptops, phones, accessories)
- Handle day-to-day IT troubleshooting for the team (password resets, connectivity issues, software questions)
- Maintain IT asset inventory and track equipment assignments
- Follow documented runbooks for common IT tasks; suggest improvements to those processes
- Coordinate with external IT vendors when issues exceed in-house capability
SUPPORT: General Operations (Assist / Backup)
- Assist with company events (communication, scheduling, entertainment coordination)
- Help manage inventory and stocking of food and other office/facility items
- Serve as the operational backstop to prevent issues from escalating to company owners
- Document and refine processes across all responsibility areas
- Identify inefficiencies and propose improvements, using AI tools where appropriate
- Handle ad hoc operational tasks as business needs arise
- Cross-train on additional functions to provide backup coverage across the organization
Requirements & Qualifications
Required
- 2 years of experience in an operations, office management, or administrative role (small business environment preferred)
- Demonstrated ability to learn new software and systems quickly
- Strong organizational skills with attention to detail and follow-through
- Comfortable with technology: proficient in Microsoft 365 (Outlook, Teams, Excel, SharePoint)
- Experience using AI tools (ChatGPT, Copilot, or similar) to research, learn, draft documents, or solve problems in a manner consistent with company data security and confidentiality policies
- Ability to manage multiple priorities and switch contexts throughout the day without losing track
- Strong written and verbal communication skills
- Self-directed work style; able to identify what needs to be done and do it without being told
- Valid driver’s license
Preferred (Not Required)
- Experience in the trucking, transportation, or logistics industry
- Familiarity with compliance tracking, safety programs, or regulatory documentation
- Experience with basic IT support tasks (setting up computers, managing user accounts)
- Experience with fleet management systems (Samsara or similar)
- Payroll or HR administration experience
- Associate’s degree or equivalent work experience

FLSA Classification
This position is classified as non-exempt under the Fair Labor Standards Act (FLSA) and applicable Ohio wage and hour laws. The employee will be paid on an hourly basis and is eligible for overtime compensation at one and one-half times the regular rate of pay for all hours worked over 40 in a workweek. All overtime must be approved in advance by management.
