Job Summary:
The Payroll Specialist is responsible for the accurate preparation, documentation, distribution and reconciliation of payroll and the administration of the payroll system. Reviews the computation of pay and associated deductions for accuracy. Maintains up-to-date knowledge of city, state, provincial, local, and federal legislation affecting payroll; understands and follows applicable provisions. Prepares required tax filings and other reporting. May coordinate payroll processing with an outside service provider. Responds to and resolves any inquiries regarding paychecks or payroll reporting. Ensures payroll issues are escalated and resolved promptly.
Requirements:Responsibilities:
- Process accurate, timely payroll using company HRIS, Paylocity, for hourly and salaried employees across multiple states
- Ensure compliance with federal, state, and local wage, hour, and tax regulations, including multi-state requirements
- Manage payroll changes including new hires, terminations, job changes, compensation updates, garnishments, and deductions
- Set up and maintain state and local tax accounts, including registrations as needed
- Reconcile payroll registers, tax reports, and general ledger files; investigate and resolve discrepancies
- Manage multi-state payroll reporting, filings, and tax payments in coordination with Paychex and internal stakeholders
- Serve as the point of contact for payroll-related questions from employees, HR, and Finance
- Maintain accurate and compliant payroll documentation and records
- Identify opportunities to improve payroll processes, controls, and scalability as the organization grows
- Support payroll audits and internal reviews

Required Skills/Abilities:
- Strong working knowledge of federal, state, and local payroll laws and compliance requirements
- Familiarity with multi-state tax registrations and compliance setup highly preferred.
- Exceptional attention to detail and commitment to accuracy
- Proven ability to manage confidential and sensitive information
- Strong organizational, analytical, and problem-solving skills
- Ability to work independently in a fast-paced, evolving environment
Education and Experience:
- An Associates degree in Accounting, Finance, or related fields is required. A Bachelor’s degree or higher in the same fields is preferred.
- 5 years of hands-on experience processing multi-state payroll using an HRIS system (Paylocity is highly preferred), at least 2-3 of those years running payroll independently is required.
- Experience supporting payroll for a growing or scaling organization is preferred.
- Experience in a consulting or contract-based payroll role is preferred
Certifications:
- Certified Payroll Professional (CPP) certification
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift 15 pounds at times.
