About the Role:

The Front Desk Agent serves as the primary point of contact for clients, visitors, and employees within the management company, ensuring a welcoming and professional environment. This role is critical in managing front desk operations, including greeting guests, handling inquiries, and coordinating communication between departments. The Front Desk Agent is responsible for maintaining accurate records, managing appointment schedules, and facilitating smooth administrative processes. By providing exceptional customer service and efficient administrative support, the agent contributes to the overall operational success and positive reputation of the company. This position requires a proactive approach to problem-solving and the ability to manage multiple tasks simultaneously in a fast-paced environment.

Minimum Qualifications:

  • High school diploma or equivalent.
  • Proven experience in a customer service or front desk role.
  • Proficiency in using office software such as Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent verbal and written communication skills.
  • Ability to multitask and manage time effectively in a dynamic environment.

Preferred Qualifications:

  • Associate’s degree or higher in Business Administration or related field.
  • Experience working in the management or corporate services industry.
  • Familiarity with office management software and phone systems.
  • Bilingual abilities or proficiency in a second language.
  • Strong problem-solving skills and conflict resolution experience.

Responsibilities:

  • Greet and welcome visitors and clients promptly and professionally, ensuring a positive first impression.
  • Answer, screen, and forward incoming phone calls while providing accurate information or directing calls to appropriate personnel.
  • Manage appointment scheduling and maintain organized records of meetings, deliveries, and visitor logs.
  • Coordinate communication between departments and assist with administrative tasks such as data entry, filing, and correspondence.
  • Handle inquiries and resolve issues or escalate them to the appropriate department in a timely manner.
  • Maintain the cleanliness and organization of the front desk area and ensure all office supplies are stocked.
  • Assist with onboarding new employees by providing necessary information and access to facilities.

Organizational skills are essential for managing schedules, maintaining records, and coordinating office activities efficiently.
