Stonewall Dental Associates is seeking an experienced Dental Front Desk / Treatment Coordinator to join our growing, high-volume, multi-specialty practice. We provide general, pediatric, periodontal, orthodontic and implant dentistry in one convenient location.
This is a key patient-facing and administrative role for a confident dental professional who can manage a busy front desk, guide patients through treatment and financial decisions, and help with dental insurance claims and billing.
This is not an entry-level position. Candidates must have at least three years of hands-on dental billing and insurance claims experience, along with experience working in a busy dental practice.
Key ResponsibilitiesFront Desk and Scheduling
- Welcome patients with professionalism, warmth and confidence.
- Manage patient check-in and check-out efficiently.
- Answer incoming calls, respond to patient inquiries and schedule appointments.
- Maintain a productive schedule by confirming appointments, filling cancellations and following up with overdue patients.
- Verify and update patient demographics, insurance information and required documentation.
- Collect copayments, deductibles and outstanding patient balances.
- Maintain an organized, welcoming reception area.
Treatment Coordination and Case Acceptance
- Present treatment plans clearly and confidently.
- Help patients understand recommended treatment, insurance benefits, estimated out-of-pocket costs and scheduling requirements.
- Discuss payment arrangements and third-party financing options, including CareCredit and Cherry.
- Follow up consistently on unscheduled and incomplete treatment.
- Help patients overcome financial and scheduling barriers to receiving needed care.
- Coordinate with doctors and clinical team members to create a seamless patient experience.
- Track treatment opportunities and maintain accurate follow-up notes.
Dental Billing and Insurance
- Verify dental insurance eligibility, benefits, limitations and frequencies.
- Accurately prepare and submit dental insurance claims.
- Ensure claims include appropriate documentation, narratives, radiographs and attachments.
- Review electronic remittance advice and explanations of benefits for accuracy.
- Post insurance payments and adjustments accurately.
- Monitor outstanding claims and insurance aging reports.
- Follow up on delayed, denied, rejected or underpaid claims.
- Correct and resubmit claims when necessary.
- Submit appeals and additional documentation to insurance carriers.
- Assist patients with insurance and billing questions in a clear, professional manner.
- Review patient accounts and help resolve outstanding balances.
- Maintain accurate financial and insurance information within CareStack.
Required Qualifications
- Three to five years of prior dental administrative experience in a large, high-volume dental office.
- At least three years of direct dental billing and insurance claims experience.
- Strong knowledge of dental terminology, procedures, CDT codes and insurance billing processes.
- Experience with insurance verification, claim submission, claim follow-up, denials, appeals, payment posting and aging reports.
- Prior front desk, scheduling and treatment coordination experience.
- Ability to confidently discuss treatment costs, patient balances and financial arrangements.
- Excellent communication, organization and multitasking skills.
- Ability to remain professional, accurate and patient-focused in a fast-paced environment.
- Strong attention to detail and consistent follow-through.
- High school diploma or equivalent.
- Proficiency with computers, scanners and standard office equipment.
Preferred Qualifications
- Experience using CareStack dental practice management software.
- Experience in both general dentistry and dental specialties.
- Familiarity with orthodontic, periodontal, pediatric and implant treatment.
- Experience with CareCredit, Cherry or similar patient-financing platforms.
- Bilingual English/Spanish communication skills.
