We are seeking a highly organized, upbeat, and reliable Administrative & Marketing Assistant to support daily office operations and assist our marketing team. Key Responsibilities
Client Service & Office Support
- Answer, screen, and route incoming phone calls; provide polite and professional communication via phone, email, and mail.
- Greet clients and visitors warmly, ensuring a seamless and welcoming experience.
- Perform general office tasks such as filing, organizing records, making copies, saving invoices and receipts, and assisting with meeting setup.
- Handle money movement tasks accurately, including check deposits and related documentation.
- Maintain a clean, organized, and efficient office environment.
Administrative Duties
- Provide real-time scheduling support, coordinate meetings, and prevent scheduling conflicts.
- Assist with preparing reports, presentations, and other administrative projects.
- Support compliance processes, including submitting marketing materials for approval and ensuring documentation meets firm requirements.
- Work collaboratively with various team members and assist wherever needed to keep operations running smoothly.
Marketing & Event Support
- Assist the marketing lead with event planning, preparation, logistics, and follow-up tasks.
- Support execution of marketing initiatives by organizing materials, tracking approvals, and helping coordinate external communications.
- Perform general marketing administrative tasks as assigned.
Requirements
- Prior administrative or office support experience required; marketing experience a plus.
- Strong computer proficiency, including Microsoft Office (Outlook, Word, Excel, PowerPoint) and the ability to learn industry-specific software.
- Excellent verbal and written communication skills; strong typing, note-taking, and documentation abilities.
- Highly detail-oriented with a strong commitment to accuracy and follow-through.
- Demonstrated ability to multitask, stay organized, and meet deadlines in a dynamic environment.
- A proactive, positive, team-oriented attitude with the flexibility to take on tasks both big and small.
- Strong integrity with the ability to maintain strict confidentiality.
- Valid driver's license and ability to pass a criminal background check.
- Ability to work independently with minimal supervision while maintaining a high standard of performance.

Pay: $22.00 - $26.00 per hour
Expected hours: 40 per week
