Payroll Specialist
Our client, a world class growing PR/Consulting firm, is seeking a motivated and detail-oriented Payroll Specialist to join its growing team. This position may be based in the firm’s New York or L.A. offices.
This will be a 4 day in the office role.
Job Overview:
Own and scale payroll and core HR operations across a multi-state U.S. workforce and a small international footprint (UK). This role is critical to:
- Ensuring accuracy, compliance, and timeliness of payroll
- Improving employee experience and trust
- Building scalable systems and processes as the company grows
- Leading payroll/HR tech stack modernization (ADP → next-gen platform)
- Role reports to Chief Administrator Officer
Key Responsibilities:
Payroll Ownership (Core Priority):
- Manage end-to-end payroll: U.S. employees (multi-state complexity)
- Ensure: Accurate processing (salary, bonuses, commissions, deductions)
- Timely payroll execution
- Proper tax withholdings and filings (federal, state, local)
- Own payroll-related accounting inputs: Payroll journal entries
- Accruals (bonus, PTO if applicable)
- Reconciliation to GL and cash
- Manage year-end processes: W-2s, 1099s, P60s (UK if applicable)
- Benefits Administration
- Maintain employee data integrity across systems
Expense Management & Controls
- Review and approve employee expense reports: Ensure compliance with company policy
- Identify anomalies or misuse
- Partner with Finance to: Improve policy clarity
Qualifications:
- 5-8 years in payroll and/or HR operations
Proven experience managing: Multi-state U.S. payroll
Payroll systems (ADP strongly preferred)
- Experience with international payroll (UK) is a plus
- Experience implementing or migrating payroll/HR systems strongly preferred
- A real self starter!
