Job Title: Academic & Admissions Coordinator
Reports to: Director of Operations / Head of School
Role Overview
The Academic & Admissions Coordinator is the first point of contact for prospective families and the ongoing architect of a student’s transition into the Academy. You will manage the full enrollment lifecycle—from initial inquiry and specialized screening to the creation of customized learning pathways. This role requires a deep understanding of neurodiversity, gifted education, and the "process-based" learning model that defines Luminova.
Key Responsibilities1. Admissions & Enrollment Management
- Family Consultancy: Serve as the primary liaison for families, guiding them through Luminova’s unique model and assessing if the Academy is the right fit for their child’s specific needs.
- Specialized Screening: Coordinate and oversee the intake process, including reviewing previous educational assessments, IEPs, or neuropsychological evaluations to understand the learner's profile.
- Pipeline Oversight: Manage the CRM/Admissions database to track leads, applications, and enrollment status, ensuring timely follow-up and a high-touch "white glove" experience.
- Outreach & Events: Organize and host open houses, school tours, and community webinars to build awareness of Luminova’s programs.
2. Academic Coordination & Placement
- Mastery-Based Mapping: Work with educators to place students into small-group learning cohorts based on readiness and interest rather than age or grade level.
- Onboarding Success: Facilitate the "transition period" for new students, ensuring that their first 30–60 days are supported by the necessary social-emotional and academic resources.
- Dual Enrollment/College Readiness: Assist older learners in navigating opportunities for mentorships, internships, and advanced college-level coursework.
3. Records & Compliance
- Data Integrity: Maintain accurate, confidential student records and ensure all enrollment documentation is compliant with state and local regulations.
- Reporting: Prepare monthly reports on enrollment trends, retention rates, and student demographic data for the leadership team.
Qualifications & Skills
- Education: Bachelor’s degree in Education, Psychology, Communications, or a related field (Master’s preferred).
- Experience: 2–4 years in school admissions, academic advising, or educational consulting, preferably within a special education or gifted/talented environment.
- Neurodiversity Expertise: A strong understanding of the needs of gifted and twice-exceptional (2e) learners.
- Communication: Exceptional "active listening" skills; ability to discuss complex educational philosophies with parents in an empathetic, clear manner.
- Tech Savviness: Proficiency in school management systems (SMS), CRM tools (like HubSpot or Salesforce), and Google Workspace.
Pay: $49,399.70 - $59,492.11 per year
