We are seeking a professional, organized, and client-focused Legal Assistant/Receptionist to support two family law firms in a shared capacity. This position is the front line of our practices, as you will be the first voice clients hear and the first face they see, while also handling case management and administrative tasks behind the scenes.
- Answer phones, greet clients, and serve as the primary point of contact for client communications.
- Manage incoming calls with professional phone etiquette
- Manage attorney calendars by coordinating meetings/appointments and scheduling hearings and deadlines.
- Assist attorneys with legal case management by organizing and maintaining physical and digital files using document management systems such as MyCase.
- Draft, review, and proofread legal documents including pleadings, orders, and other filings with precision and clarity.
- Perform data entry and filing tasks to ensure all client records are accurate, complete, and easily accessible.
- Maintain confidentiality of sensitive information while ensuring compliance with legal procedures and regulations.
- File documents via the electronic filing manager (Texas E-file).
- Set up new cases in our case management system (MyCase)
- Notarize documents (the ideal candidate would be someone who is already a certified notary, however, we will sponsor notary certification if you are not already commissioned).
- Handle client billing and invoicing.
- Proven experience as a paralegal or legal administrative assistant within a law office or legal environment.
- Knowledge of family law procedures and terms.
- Excellent organizational skills with the ability to manage multiple priorities efficiently and with attention to detail.
- Strong writing skills for drafting legal documents and correspondence; keen proofreading abilities.
- Proficiency in document management systems and data entry; experience with electronic filing systems is preferred.
- Exceptional phone etiquette and interpersonal skills for effective communication with clients and team members.
