Administrative Assistant with Project Management Duties
Stokes County Schools is hiring an Administrative Assistant for the Facilities and Maintenance Department. This positions responsibilities include, but are not limited to:
Receiving work orders from all facilities,processing them in the online system, updating and detailing job progress.- Prioritizing and assigning work orders to technicians.
- Invoicing and billing.
- Scheduling contract services needed for facility repairs.
- Timekeeping duties and payroll with Department Staff
- Recording Fuel Usages and ordering fuel needs for all facilities.
This position will also be responsible for some project management which includes:
Ensuring project locations are suitable for construction by working with engineering firms and local permitting offices.- Ensuring bidding laws are followed.
- Ensuring that construction contracts are complete and have all needed engineering stamps.
- Working with demolition, grading, construction, electrical , and plumbing companies simultaneously.
- Ensuring projects are following a timeline and are on schedule.
- Ensuring during construction and after completion that all aspects of the project are meeting expectations.
- Detailed reporting before and during construction.
- Visiting project sites to discuss progress with contractors.
Candidates should have experience in the following areas:
Secretarial Duties- Billing and Invoice Management
- Budgeting for Projects
- Working in a Team Oriented Environment
- Working with Calculations/Projections
This position will report directly to the Maintenance and Facilities Director.
