What We Need


We're hiring a Project Manager to own the execution management layer of our client growth plans. You'll take strategies that have already been defined and translate them into structured, trackable workflows inside ClickUp — then hold the team accountable for delivering against them.


This is a hands-on coordination, accountability, and systems leadership role. You'll manage timelines, configure automations and dependencies, monitor task progress, and ensure nothing falls through the cracks across all client accounts and internal projects.


You'll also be stepping into an existing ClickUp system that needs to be audited, standardized, and enforced. This is a change management responsibility — you set the standard, drive adoption, and hold the line when team habits don't align with the system.


This role is not a strategy or client relationship role. You won't be asked how the team wants to work — you'll determine the best configuration and lead them through it.


Advanced ClickUp proficiency is required (automations, dependencies, reporting, workspace configuration). We're looking for an 8–10 out of 10 — this will be tested before you advance in our process.



Primary Responsibilities


This role exists to configure and enforce the operational system that keeps client work on track. You'll build and maintain our ClickUp infrastructure — and use it to coordinate people, deadlines, and deliverables across all accounts.


ClickUp Systems Configuration

  • Build and maintain standardized templates across all client work
  • Configure automations, dependencies, and alerts so the system drives the team
  • Create dashboards for real-time visibility into project health and capacity
  • Implement QA checkpoints in all workflows


Change Management & Standardization

  • Audit the existing workspace and retire legacy setups
  • Enforce one standard — no parallel systems, no exceptions
  • Lead bi-weekly change management sessions to drive adoption and address non-compliance
  • Surface non-compliance to the team and leadership proactively


Project Planning & Coordination

  • Translate defined strategies into tasks, timelines, and ownership in ClickUp
  • Maintain absolute clarity on who does what, by when, across all accounts


Team Accountability & Deadline Enforcement

  • Monitor task completion and flag risks before they become problems
  • Run weekly execution meetings and document progress
  • Enforce a clear process for deadline adjustments

  • Project coordination is the foundation — You own the rhythm of execution across all accounts
  • System standardization is non-negotiable — One template structure, one way of working. No exceptions for legacy accounts or team preferences
  • Change management is a core function — You don't just build the system; you drive adoption. When the team resists, you retrain, apply pressure, and escalate if needed
  • Accountability & Risk Flagging — You create clarity around commitments, raise risks early, and guide the team toward solutions before timelines slip
  • Proactive auditing — You check the dashboards before anyone asks. If something is overdue or non-compliant, you surface it — you don't wait for self-reporting
  • Systematic automation — Minimize manual work through smart ClickUp configuration
  • Independent execution — You drive accountability without constant oversight
Required Experience


Must-Have:

  • 5 years project management in an agency, consulting, or professional services environment
  • Advanced ClickUp proficiency — automations, dependencies, templates, and reporting (will be tested)
  • Demonstrated change management experience — walking into an existing system and driving standardization against team resistance
  • Self-directed, process-oriented executor


Strongly Preferred:

  • Experience auditing and restructuring an existing ClickUp workspace
  • Change management experience in a small team environment where relationships matter but standards can't be compromised
  • Comfortable being the person who enforces the system — not the person who asks permission
