Position Summary:
Stockmeister Construction Services is seeking a highly organized and dependable Construction Administrative & Billing Coordinator to support our growing operations. This role is critical to maintaining accurate project financials, and ensuring smooth communication between the office, accounting team, and project managers. The position emphasizes project billing, AP/AR coordination, (accounts payable (AP), accounts receivable (AR)), job costing support and construction office administration.
Key Responsibilities:
- Provide office and administrative support as needed
- Enter and process all vendor invoices (AP) accurately and timely
- Work closely with Project Managers to prepare and submit monthly project billings (AR) Generate and send customer statements; assist with collections on outstanding invoices
- Prepare, track, and distribute lien waivers to subcontractors and vendors Support accounting team with job cost data and documentation for monthly financial reporting
- Maintain organized project financial records, including billing, cost tracking, and documentation
- Provide administrative support to project managers and office staff as needed
Qualifications:
- Administrative, billing, AP/AR, or construction office experience preferred
- Candidate must be detail oriented, team oriented, proactive, and comfortable following up and reporting to project managers, vendors and customers
- Candidate must perform accurate data entry and possess strong computer proficiency (Microsoft Suite)
- Ability to handle multiple tasks and deadlines in a fast-paced construction environment
Preferred Qualifications (Not Required):
- Experience in the construction industry or working with project managers
- Familiarity with project costing, progress billings, and lien waiver processes
- Familiarity with Acumatica, Procore and Job Planner
- Understanding of construction materials, terminology, or workflows
- Bookkeeping or accounting experience
- Associate’s or Bachelor’s degree in Business, Accounting, or related field
