You are responsible for handling service solutions and monitoring the staff's performance in providing the highest quality services for customers within their designated areas. Service managers manage the budget and resource allocation to support business functions and operational maintenance. They also assist the service staff in responding to the customer's inquiries and concerns and resolving their complaints. A regional service manager must have excellent communication and leadership skills to help the team maximize productivity and improve efficiency.

ESSENTIAL DUTIES:

  • Responsible for ensuring all site business is being conducted in accordance with company policies and procedures and all state and federal laws (such as ADA, Fair Housing, OSHA, HAZCOM Program Lead Based Paint, etc.).
  • Implement and assist in managing service requests. Within 48-hour service request completion is typical unless there are special circumstances (Parts needed, weather delay, outside contractor, etc.). Five-day make-ready turn time, start to finish (seven if the weekend falls between move-out and completion dates).
  • Property visits: currently overseeing four properties. Helping and supervising the service team. Walking property with fresh eyes to point out anything that may have gone unnoticed and bringing to attention. Providing possible solutions with budget and workflow in mind. Picking up any specialty items or parts to help teams if available or needed
  • Oversee community maintenance programs such as pest control and organic growth.
  • Quarterly inspections of sites with Regional Managers and quarterly meetings with Service Managers and Community Managers.
  • Communication with Service Managers on constant problematic issues (Big issues), and resolutions we can provide: Keeping tabs on any consistent items of failure (Light fixtures, plumbing fixtures, Trim items, etc.) and any major improvements that can be made on the front end to help maintenance on the back end when servicing. Communicating these items quarterly with the construction team (Quality Control and Pre-Construction Manager) to improve, if possible, before the construction of future sites.
  • Finding new vendors, if needed, for different areas of work (Paint, clean, parking lot striping, capital projects, major repairs, etc.)
  • Identify ongoing training and performance needs. Implement competency-based training programs to address identified needs.
  • Ensuring maintenance are staying organized: cleaning shops have good basic day-to-day operations (Time Management, Smart work procedures, Initiative, safe procedures, prioritizing work, and dealing with stress)
  • Monitoring preventative maintenance program and constantly updating if a need arises
  • Assisting with setup and coordination of any big maintenance projects needed on sites: Capital projects, cleaning projects, painting projects etc. Helping provide contractors that we have relations with that can handle these projects with overall quality and budgeting in mind.
  • Assisting Regionals with new site setups (Startup supplies, handytrac machines, landscaping, and pest control contracts, new unit turnovers to operations)
  • Assisting with maintenance budget annually at Budget Bootcamp training per property: Provide insight to big maintenance items to budget for, for the following year, as well as any areas where money can be saved on supplies. Help adjust the budget to an ever-changing need for stock of supplies as properties age.
  • Complete all other tasks as assigned.

KNOWLEDGE & ABILITIES REQUIRED:

  • Must be able to read and interpret documents such as building codes, governmental regulations, safety rules, operating and maintenance instructions, and procedure manuals.
  • Must be HVAC certified, CO
  • Knowledge of OneSite and Realpage software is a plus.
  • Basic understanding of Landlord/Tenant laws and applications, familiarity with NAA Lease and addendums, Fair Housing/ADA regulations and applications, OSHA & EPA requirements for the property management industry.

EDUCATION & EXPERIENCE DESIRED:

  • Current Certifications in EPA, CPO, Mold
  • Minimum of 5 years experience in property management
  • High School Diploma required, College preferred
  • Ability to earn future designations as required by Industry standards, EPA regulations, OSHA requirements, etc.
  • Proficient with content management software and property management software.
  • Ability to effectively communicate and work with all levels of management.

PHYSICAL DEMANDS:

The work can be physically demanding. Typically, the associate will perform some work sitting at a desk and other work completing site visits and assisting onsite teams. You will be required to walk, stand, bend carry heavy items, drive an automobile, etc.

WORK ENVIRONMENT:

An average of 40% of typical workday is spent at desk reviewing site facilities reports, budgets, and open job orders. The support office is located at . The remainder of the job (60%) will require traveling to and from sites (currently, from <LOCATIONS>) and assisting sites that may be understaffed or may need education and training. Travel to properties requires an operable personal vehicle and a valid driver's license. Out-of-state travel may be occasionally required.
