Job Overview
We are seeking a detail oriented and self motivated individual for direct involvement in the production process. This position is crucial for ensuring that sales and production staff have the tools they need to be successful, managing inventory and showroom, coordinating with the production department and data entry.
Responsibilities
- Assist in the procurement process by filing out necessary vendor paperwork
- Maintain all vendor files to ensure accurate contact information
- Periodically negotiate with vendors to reduce costs or find new vendors
- Manage purchase orders and ensure timely delivery of goods and follow up with any out of stock or back ordered items and help find appropriate alternatives
- Monitor inventory levels in production to prevent stockouts or overstock situations
- Monitor inventory in the showroom and work with sales staff to remove discontinued items and introduce new and current items
- Assist sales team when customers ask about updates on their orders, shipping issues, back orders or out of stock items
- Track back order and delayed items and maintain timely communication with clients
- Data Entry of all shipped notes and filing appropriate paperwork
- Receive all returns from customers and call vendor for appropriate RMAs in a cost effective manner
Skills
- Strong organizational skills with attention to detail for accurate record keeping
- Effective communication skills for collaboration across departments and maintain a level of respect and professionalism with colleagues, management and customers
- Must be proative team player and finds ways to support both sales and production teams
- Think strategically when ordering supplies to make it as cost efficient as possible
- Familiarity with operating systems and all Microsoft applications
- Essential to have internet skills such as connecting to networks and moving between webpages, digital safety, privacy, and responsible online behavior
- Knowledge of how to safely and securely use AI to help streamline certain tasks
