Position Overview:
We are seeking a motivated and detail-oriented individual for the position of Tax Administrator at our Chicago (or Northbrook) office. As a Tax Administrator, you will play a crucial role in project management and client communications. This entry-level position offers an excellent opportunity for professional growth and development within our dynamic and client-focused firm.
Responsibilities:
- Manage administration and delivery of high volume of tax returns to clients:
- Create and send Tax Organizer and Engagement letter to clients.
- Assist with transferring client data to SurePrep, a third-party service, for preparation of client tax returns.
- Organize and send Tax Return packages electronically (via SafeSend) or by mail, send e-Signature for e-file forms and distribute Schedule K-1s.
- E-file client tax returns, track the e-filing status and communicate with the tax preparers.
- Quarterly tax estimate management, including compiling client estimate list, sending reminders, vouchers and payment instructions to clients.
- Manage Power of Attorney filings.
- Online Portal Administration includes managing client access, assisting clients with activation and log in, and managing employee access.
- General client Service - respond to a variety of client requests, working with appropriate internal resources, depending on the particular request.
- Complete Subscription Agreement documents for client investments, obtain necessary signatures and provide supporting documentation. Login into sponsor websites as required to accomplish these tasks.
- Estate Administration support - completion of brokerage account forms for new accounts as needed, transfer of asset forms, submitting transfer packages with required supporting documentation.
- Corporation Entity support - managing State Annual Reports for 85 entities, including tracking compliance and follow-up as required; drafting Annual Minutes and obtaining signatures; drafting Secretary of State Forms.
- Company projects - CLE tracking and submission; annual professional renewals; Professional Liability Insurance application; flight itineraries; recruitment for open positions; new business proposals.
- Support for a not-for-profit organization, including fulfillment and tracking of product sales of technical manuals and other materials, reorder of material inventory, create event postcards and manage mailing list. Create and send Tax Organizer and Engagement letter to clients.
Qualifications:
- Graduate of a four-year college preferred
- Experience with client relations
- Experience with administering a portal (preferably Smart Vault and SafeSend)
- Experience with working with computer software commonly used in the business community (Word, Excel, Power Point, Outlook, Teams & DocuSign) as well as computer literacy to learn other software programs.
- Ability to work collaboratively and independently with close attention to detail.
Pay: $50,000.00 - $65,000.00 per year
