PRACTICE SUPPORT
JOB DESCRIPTION
POSITION SUMMARY:
Practice support assists attorneys, paralegals, and LAAs through the performance of complex and substantive legal tasks requiring knowledge of legal terminology and the legal process, responsible for organizing client files and maintaining the physical upkeep of the storage space. Will also be responsible for supporting and assisting the Office Manager and staff as needed with administrative duties as needed.
WORKING RELATIONSHIPS:
REPORTS TO: Assigned Attorney(s) and Office Manager for administrative matters.
SUPERVISES: No supervisory responsibilities
PRIMARY DUTIES AND RESPONSIBILITIES:
1. Provide support to assigned attorney(s), paralegal(s), and LAA(s).
1. Format documents into final form, proofread, copy, scan, mail, etc.
2. Process incoming and outgoing mail.
3. Opening/closing files, consistent with department and firm practice.
4. Manage data and prepare presentations as needed.
5. Office duties including copying, scanning, faxing, time entry, call edit, filing, transcription, etc.
6. Manage and calendar time.
7. Fill in or help with receptionist duties during receptionist breaks and time off as needed.
8. Research location of files and folders in storage; creates additional folders and labels as needed or requested; creates and updates file index.
9. Interacts competently and courteously with department personnel, lawyers, LAAs, and other support staff to exchange information.
10. Handle sensitive and/or confidential documents and information.
11. Communicate with manager on job or deadline issues.
12. Performs other duties as assigned.
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
EDUCATION:
1. High School Diploma or Equivalent required. Bachelor’s degree preferred.
2. WORK EXPERIENCE:
One-year administrative office experience is required. Bachelor’s degree may substitute for experience.
Ability to multitask, paying close attention to detail and coordinating various activities simultaneously under tight schedule; ability to proofread typed material for grammatical, typographical or spelling errors; strong communication skills, both verbal and written; ability to manage others as needed; proficient computer skills (strong working knowledge of Word, Excel, Outlook, PowerPoint) and internet applications; ability to work overtime, as needed, to meet deadlines; ability to work independently and cooperatively in a team environment; ability to maintain confidentiality and act with discretion.
PREFERRED:
One year of experience working in a law firm with heavy volume is preferred.
WORKING CONDITIONS:
PHYSICAL EFFORT: Lifting up to 20 pounds; prolonged sitting, some stretching and reaching.
WORK ENVIRONMENT: Indoor office environment with extended periods of time working on a PC. On occasion must be able to work more than 40 hours per week. Required travel would be rare, infrequent.
JOB STATUS : Full-time, nonexempt, 37.5 hour per week position.
