Job Overview
We are seeking a highly organized and detail-oriented Scheduling Coordinator to join our oral surgery practice. The ideal candidate will manage patient appointments, coordinate with clinical staff, and ensure seamless communication within the office. This role requires proficiency in medical administrative support, familiarity with EMR systems, and a strong understanding of dental terminology and some with insurance processes. The Scheduling Coordinator plays a critical role maintaining efficient clinic operations and delivering exceptional patient service. Professional phone skills are essential.
Responsibilities
- Knowledge of and proficiency with Microsoft Word and Excel
- Schedule and confirm patient appointments using EMR system DSN.
- Obtain pertinent information from the patient including medical history and medication allergies, medications both prescribed and over-the-counter the patient is taking, obtain dental and medical insurance information and scan it into EMR
- Obtain referral information from referring office including any pertinent radiographs or photos
- Review and update medical records, ensuring accuracy and compliance with HIPAA regulations
- Handle phone inquiries with professional phone etiquette, multi-line phone systems, and appointment rescheduling.
- Assist with billing processes including medical collection activities and documentation review
- Maintain organized filing systems for medical records and office documentation
- Support front desk operations, including patient check-in/out, consent forms for surgical procedures, and taking and submitting payments for procedures, and managing appointment schedules
- Utilize Microsoft Office tools for documentation, correspondence, and data entry
- Be proficient in office email review and providing this information to the doctor
- Ensure compliance with health information management standards and office policies
- Collaborate with clinical staff and doctor to facilitate smooth clinic daily operations
Qualifications
- Prior experience in medical or dental office administration, preferably in a clinic or hospital setting
- Exceptional patient/client interaction skills combined with professional phone
- Ability to handle multiple tasks efficiently in a fast-paced environment while maintaining accuracy etiquette and typing proficiency
- Excellent organizational skills with attention to detail in documentation review and data entry
- Ability to communicate professionally and effectively with doctor, patients, and staff; bilingual abilities are a plus but not required
- Proficiency with EMR/EHR systems such as DSN.
- Knowledge of or willingness to learn and develop knowledge of dental terminology, medical coding (ICD-9/10), CPT coding, and insurance billing procedures
- Strong computer skills including Microsoft Office Suite (Word, Excel) and familiarity with multi-line phone systems
- Knowledge of or willingness to learn and develop knowledge of HIPAA regulations regarding patient privacy and health information management
- Willingness to learn and develop experience with insurance verification processes and Medicare/Medicaid guidelines ideal but not required
