JOB DESCRIPTION
Position Title: Deputy County Clerk
Department: County Clerk & Recorder’s Office
Reports To: County Clerk & Recorder
SUMMARY:
The Deputy County Clerk provides administrative and operational support primarily to the County Clerk’s Office and assists the Recorder’s Office as needed. This position is responsible for maintaining accurate public records, supporting election and voter registration processes, processing vital records, and providing professional customer service to the public and other agencies in accordance with Illinois statutes and county policies.
DUTIES AND RESPONSIBLITIES:
Duties may include, but are not limited to, the following:
- Maintains, updates, and processes voter registration records and election-related documents in compliance with Illinois election laws and procedures.
- Assists with election preparation, recordkeeping, and other election administration duties as assigned.
- Records, files, and issues vital records including birth, death, and marriage certificates, as well as assumed business name certificates.
- Issues marriage licenses and ensures compliance with all applicable Illinois laws and regulations.
- Accepts, processes, and verifies delinquent tax payments in accordance with Illinois statutes and county procedures.
- Performs bookkeeping and financial duties including preparing daily deposits, balancing receipts, reconciling accounts, and assisting with monthly financial reporting.
- Provides courteous and professional customer service to the public, attorneys, surveyors, real estate professionals, vendors, county departments, and other agencies both verbally and in writing.
- Operates standard office equipment and utilizes office software and county record management systems.
- Assists with document filing, scanning, indexing, and records retention procedures.
- Performs additional duties and responsibilities as assigned.
MINIMUM QUALIFICATIONS:
- High school diploma or equivalent required.
- Specialized coursework or experience in office administration, bookkeeping, records management, customer service, or related office practices preferred.
- Proficiency in Microsoft Office applications and general office equipment.

- Frequently required to sit, stand, walk, bend, and use hands for computer and office work.
