POSITION SUMMARY
The Project Manager is responsible for managing commercial construction projects from preconstruction through closeout with a strong focus on budget control, schedule performance, timely documentation, and proactive issue resolution. Reporting directly to the Owners, this role is accountable for keeping projects moving forward, protecting the approved contract value, maintaining accurate and current project information, and ensuring all required actions are completed in a timely manner.
The Project Manager coordinates owners, architects, consultants, subcontractors, vendors, superintendents, carpenters, and internal team members to ensure each project is delivered on schedule, within budget, and in accordance with contract requirements. This position requires consistent follow-through, timely communication, organized documentation, and the ability to identify schedule or cost risks early before they impact project performance.
CORE RESPONSIBILITIES
1. PROJECT LEADERSHIP & DELIVERY
· Manage commercial construction projects from preconstruction through closeout with appropriate direction and oversight from ownership, ensuring delivery on schedule, within budget, and in accordance with contract requirements.
· Maintain overall accountability for project budget, schedule, documentation, and timely execution of assigned responsibilities.
· Manage multiple projects simultaneously, maintaining consistent communication, documentation, and follow-through across all active work.
· Coordinate the efforts of all project participants including owners, architects, consultants, subcontractors, vendors, superintendents, carpenters, and tradesmen throughout the project lifecycle.
· Monitor and control construction through regular collaboration with project superintendents to ensure projects are built to all requirements, on schedule, and within budget.
· Proactively manage project priorities to ensure critical deadlines, milestones, inspections, approvals, procurement activities, owner decisions, and project deliverables are completed on time.
· Identify budget, schedule, scope, procurement, manpower, and coordination risks early; communicate impacts clearly and develop corrective action plans.
2. PRECONSTRUCTION & ESTIMATING
· Collaborate with designers, owners, and project stakeholders during preconstruction to develop construction documents suitable for construction execution and competitive bidding.
· Prepare and review conceptual budgets, quantity takeoffs, and hard bids; ensure all scope items are captured and scope gaps are identified prior to contract award.
· Participate in bid reviews and value engineering exercises to optimize project cost, schedule, procurement, and constructability.
3. CONTRACT & SUBCONTRACTOR MANAGEMENT
· Negotiate, award, and write subcontracts; ensure subcontract scope aligns with the prime contract, project schedule, budget, and project requirements.
· Monitor subcontractor performance for quality, schedule, manpower, responsiveness, and compliance; address deficiencies promptly and document all corrective actions.
· Maintain and manage subcontractor qualifications, insurance certificates, and compliance documentation throughout the project.
4. SCHEDULE MANAGEMENT
· Develop, maintain, and actively manage project schedules using Procore or other company-approved scheduling tools.
· Create realistic project schedules that include preconstruction activities, permitting, procurement, submittals, long-lead materials, inspections, owner decisions, subcontractor sequencing, punch list, closeout, and turnover.
· Update project schedules on a regular basis and communicate schedule changes, impacts, and recovery plans to ownership, superintendents, subcontractors, and other stakeholders in a timely manner.
· Establish clear milestones and deadlines for subcontractors, vendors, internal team members, and owner-driven decisions.
· Monitor the critical path and identify delays, conflicts, procurement issues, manpower concerns, inspection issues, and coordination conflicts before they impact the overall project completion date.
5. OWNER NOTIFICATION OF DELAYS, IMPACTS & RISK ITEMS
· Notify ownership in a timely manner of any known or potential issue that may impact project schedule, budget, scope, quality, safety, inspections, procurement, manpower, owner satisfaction, or project completion.
· Identify and communicate delays or impacts as early as possible, including the cause of the issue, affected activities, potential cost impact, schedule impact, and recommended corrective action.
· Do not allow project delays, cost impacts, subcontractor issues, procurement concerns, owner decision delays, design conflicts, inspection issues, or field coordination problems to remain unresolved or uncommunicated.
· Escalate critical issues to ownership promptly when they may affect the project completion date, approved contract value, owner commitments, required inspections, turnover dates, or company risk.
· Provide ownership with timely updates on recovery plans, revised schedules, cost exposures, pending change orders, and any unresolved items requiring direction.
6. BUDGET & FINANCIAL MANAGEMENT
· Manage each project with a strong focus on protecting the approved contract value, maintaining accurate cost information, and identifying budget impacts early.
· Track project budgets, committed costs, allowances, contingencies, change orders, potential cost exposures, and forecasted final costs on a regular basis.
· Maintain accurate and current cost reports; provide timely budget updates to ownership, including known risks, pending changes, and projected cost impacts.
· Review subcontractor and vendor pricing for completeness, accuracy, scope alignment, and budget impact before approval.
· Prepare, review, and track owner change orders, subcontractor change orders, budget revisions, and contingency use; ensure all changes are properly authorized before work proceeds when possible.
· Ensure potential changes are documented promptly and communicated before they become unapproved cost exposure.
· Prepare owner pay applications accurately and submit them on or before required submission dates with complete backup documentation.
7. SAFETY & QUALITY COMPLIANCE
· Ensure full compliance with company and OSHA safety standards across all managed projects; conduct or facilitate regular job site safety inspections.
· Maintain and enforce quality control standards throughout construction; identify deficiencies and hold the project team accountable to timely corrections.
· Ensure all required permits, inspections, and jurisdictional approvals are obtained and documented in a timely manner.
8. CLIENT & OWNER RELATIONS
· Serve as the primary point of contact for clients and owners throughout the project; facilitate professional, proactive, and timely communication at all stages.
· Maintain detailed correspondence and meeting minutes; respond to client inquiries and concerns in a timely and professional manner.
9. DOCUMENTATION & REPORTING
· Maintain organized and complete project files including contracts, change orders, RFIs, submittals, correspondence, permits, schedules, inspections, pay applications, cost reports, and closeout documents.
· Provide accurate and timely reports on project cost, schedule, contract compliance, open issues, and required decisions to leadership and ownership.
· Partner with the Construction Coordinator on administrative project functions including submittal logs, RFI tracking, subcontractor documentation, project correspondence, and closeout tracking; maintain clear direction and accountability throughout the project lifecycle.
10. TIMELINESS, ACCOUNTABILITY & FOLLOW-THROUGH
· Complete assigned tasks, documentation, reviews, responses, and project updates within required deadlines or company expectations.
· Respond to owners, architects, consultants, subcontractors, vendors, superintendents, and internal team members in a timely and professional manner.
· Ensure RFIs, submittals, change orders, pay applications, cost reports, meeting minutes, schedules, punch lists, closeout documents, and owner communications are not allowed to sit unresolved.
· Track open items through completion and follow up consistently until each item is closed.
· Escalate unresolved issues promptly when they may affect cost, schedule, quality, safety, procurement, inspections, owner satisfaction, or project completion.
Qualifications
- Experience in Project Management, including planning, execution, and monitoring construction projects.
- Proficiency in Expediting and Expeditor tasks, ensuring timely delivery of materials and equipment.
- Skills in Logistics Management and Inspection, ensuring operations run efficiently and standards are met
- Strong organizational and leadership abilities, with excellent time management skills.
- Knowledge of local building codes, regulations, and safety standards.
- Ability to work collaboratively on-site and effectively communicate with diverse stakeholders.
- Bachelor’s degree in Construction Management, Engineering, or a related field is preferred.
- Previous experience in commercial construction is highly beneficial.
