Job Overview:
The Assistant Office Manager oversees front office operations and supervises support staff, ensuring efficient workflow, adherence to SDMI policies, and excellent customer service. Maintains patient confidentiality, manages staff development, schedules and verifies appointments, and supports reporting and compliance requirements. Performs front office duties as needed and trains staff on procedures to ensure smooth and efficient operations.
Responsibilities:
- Manages time effectively to complete tasks such as day sheets, month-end reports, and performance evaluations, while maintaining staff development and a 2% registration error rate.
- Performs all duties of a Front Office Admitting Representative and other responsibilities as needed to support the efficient operation of SDMI.
- Apply customer service techniques to resolve problems and complaints effectively.
- Complete or direct occurrence reports within 24 hours of any event, incident, or risk.
- Conduct periodic performance appraisals and evaluate staff work to determine quality and training needs.
- Establish and maintain effective working relationships with all personnel and communicate professionally with individuals from diverse backgrounds, including under stressful conditions.
- Other duties assigned.
Minimum Skills/Requirements
- High school diploma or equivalent required; medical and computer experience preferred. Minimum one (1) year of admissions experience in a hospital or medical office setting, including supervisory or lead responsibilities.
- Knowledge of office management principles, personnel supervision, and departmental standards.
- Understand office procedures, medical and insurance terminology, insurance carriers, and reimbursements.
- Participate in cross-training to support professional growth and departmental operations.
