- Provide professional, welcoming support to clients, visitors, and guests while helping maintain an organized and responsive department environment.
- Represent the department with professionalism, warmth, and follow-through by ensuring client and team needs are handled promptly and thoughtfully.
- Answer incoming telephone calls promptly and professionally.
- Direct calls to appropriate team members and accurately relay messages.
- Assist current and prospective clients with scheduling appointments and consultations.
- Respond to client inquiries and provide administrative assistance as appropriate.
- Maintain a clean, organized, and welcoming work area.
- Schedule appointments, consultations, and meetings for attorneys and staff.
- Manage and coordinate calendars to ensure appointments are accurately scheduled and maintained.
- Monitor scheduling conflicts and assist with calendar adjustments as needed.
- Send appointment reminders and communicate scheduling changes to clients and team members.
- Provide administrative support to attorneys and paralegals, and legal staff across practice areas.
- Assist with preparing, organizing, scanning, copying, printing, and filing documents.
- Review, sort, and distribute incoming mail and deliveries within department.
- Prepare correspondence, packets, and client materials.
- Assist with data entry and maintaining accurate client information.
- Create, organize, and maintain physical and electronic files.
- Support day-to-day office workflow and assist with special projects as assigned.
- Assist with document management and file organization initiatives.
- Prepare and coordinate outgoing mail, packages, and other deliveries.
- Use of a personal vehicle for work-related travel outside of the office.
- Work collaboratively with attorneys, paralegals, and administrative team members to ensure efficient workflow.
- Anticipate team needs and proactively assist where support is needed.
- Contribute positively to a culture of professionalism, accountability, and continuous improvement.
- Demonstrate flexibility and adaptability in responding to changing priorities.
- Maintain confidentiality of all client, firm, and personnel information.
- High School Diploma or GED required.
- Minimum of two (2) years of administrative, reception, customer service, or office support experience preferred.
- Experience in a professional office environment preferred.
- Valid Pennsylvania driver’s license, reliable vehicle and insurance required.
