Job Overview
Stein Harris is seeking a detail-oriented, organized, and reliable Administrative Assistant to support daily office operations and assist attorneys with administrative and clerical tasks. This role is essential to ensuring the smooth and efficient functioning of the office and maintaining a professional and responsive client experience
The Administrative Assistant will play a critical role in the day-to-day execution of corporate and transactional matters, including strategic investments, governance work, and contract negotiations. This position requires discretion, discipline, strong judgment, and the ability to anticipate needs in a fluid, high-performance setting.
Responsibilities
- Manage and organize high-volume electronic correspondence, including deal-related emails and attachments
- Schedule client calls, closings, internal deadlines, and transaction timelines
- Maintain and manage digital deal files, data rooms, and shared drives in accordance with firm protocols
- Assist with preparing, formatting, organizing, and proofreading transaction documents (including agreements, side letters, consents, and closing sets)
- Compile signature packets and assist with execution and closing documents
- Support document circulation for signatures via DocuSign or similar platforms
- Assist with tracking deal progress and maintaining internal reports and matter status updates
- Support timekeeping, expense tracking, and billing review processes
- Draft and send routine administrative correspondence (e.g., engagement letters, follow-ups, scheduling)
- Coordinate with clients, counterparties, and other counsel in a professional and confidential manner
- Maintain strict confidentiality of sensitive client and deal-related information
Requirements
- High school diploma or equivalent (Associate’s or Bachelor’s degree strongly preferred)
- Experience in an administrative role, professional services environment preferred
- Exceptional organizational skills with the ability to manage multiple matters simultaneously
- Strong attention to detail and accuracy, especially with names, dates, numbers, and document versions
- Clear written and verbal communication skills
- Proficiency in Microsoft Office Suite (Word, Outlook, Excel) and Adobe Acrobat
- Ability to follow structured processes and meet strict deadlines
- High level of discretion, professionalism, and reliability
Preferred Skills
- Prior experience in a law firm, investment firm, financial services, or corporate office
- Familiarity with corporate documents such as NDAs, operating agreements, cap tables, stock issuances, and board consents
- Experience using platforms such as DocuSign, Google Drive/Dropbox, and document management systems
- Comfort working with version control, redlines, and tracked changes
- Experience organizing data rooms for due diligence or transactions
- Basic knowledge of entity formation, corporate governance, and closing workflows
