About the Role

The Part-Time Office Administrator serves as the face of the Irvine office and plays a critical role in ensuring a welcoming, organized, and efficient workplace. This individual provides front desk support while also assisting management with administrative coordination, including calendar management and travel arrangements.

This role is ideal for a highly organized, proactive individual who enjoys supporting day-to-day office operations. 


What You’ll Do

Front Desk & Office Operations

  • Greet and assist visitors, clients, and vendors with a professional and welcoming demeanor
  • Answer and direct incoming calls and manage general email inquiries
  • Receive, sort, and distribute mail and packages; coordinate outgoing shipments
  • Maintain a clean, organized, and professional front office and common areas
  • Order and manage office supplies, coffee, and kitchen inventory
  • Coordinate lunch orders for meetings and team events

Office & Facilities Coordination

  • Manage conference room scheduling and ensure rooms are set up appropriately for meetings
  • Support day-to-day office operations to ensure a smooth and efficient workplace environment
  • Coordinate with vendors as needed (e.g., office supplies, deliveries, services)
  • Manage and maintain calendars, including scheduling and prioritization of meetings\
  • Coordinate domestic and international business travel (flights, hotels, itineraries)
  • Assist with logistical planning for management and client meetings

Client & Meeting Support

  • Schedule and coordinate client meetings, including room setup and catering as needed
  • Ensure a positive and professional client experience from arrival through departure
  • Assist with administrative follow-up as needed


What We’re Looking For

  • Prior experience in an administrative assistant, office coordinator, or front desk role
  • Strong organizational skills with the ability to manage multiple priorities
  • Excellent verbal and written communication skills
  • High level of professionalism and customer service orientation
  • Ability to handle sensitive information with discretion
  • Proficiency in Microsoft Office and calendar management tools
  • Experience in a client-facing or fast-paced office environment
  • Available to work approximately 4 hours per day Monday through Friday

Compensation & Benefits

Hourly Pay Range: $24.00 – $28.00 per hour

In compliance with California pay transparency requirements, a salary range is provided for this position. Final compensation will be based on experience, skills, and geographic location.
