Administrative Assistance Job Description

JOB DESCRIPTION

The Administrative Assistant plays a very critical role at Steele Creek Tax and Financial. The friendly, highly motivated Administrative Assistant is the first person our clients see when they walk in the door and provide our clients first impression. They are responsible for working with the team to maximize the client experience and facilitating day-to-day activities. They also work with the team to ensure fluidity within the office utilizing strong organizational skills. There is a heavy emphasis on strategy, attention to detail, and organization for day-to-day operations in congruent with fostering the growth of new and existing clients.

ROLES AND RESPONSIBILITIES

  • Provide the full welcome experience with each client, including a greeting, taking in and handling client information, and providing any general information.
  • Assist Tax Accountants in any administrative/ clerical needs.
  • Schedule appointments for Tax Accountants.
  • Keep office highly organized in a high-paced environment.
  • Be exceptionally attentive, sociable, and friendly with all clients.
  • Execute and organize scanning and storing client information in addition to printing, faxing, and mailing.
  • Perform entry level tax related functions in the software.
  • Promptly reporting office needs and general supplies to ensure the office & break room is properly maintained, stocked, and clean.
  • Provide any feedback from clients while assisting them in the moment.
  • Responsible for working as a team to maximize the client experience.
  • Provide day-to-day process related to opening/closing of the office.
  • Responsible for answering the phone, relaying messages, and responding to emails.
  • Manage and facilitate email workflows and fax status.

QUALIFICATIONS

  • Display a high level of experience with Microsoft Office (Excel, Word, and Outlook) and a general knowledge of QuickBooks is preferred.
  • Must be a high producer in autonomous working situations, reliable, and a self-motivator.
  • Able to easily learn and navigate software systems and maintain records.
  • Excellent communication and customer service skills.
  • Ability to multi-task and stay organized while having high attentiveness to detail and follow through.
  • Positive, motivating, and effective interpersonal communication skills.
  • Have had extensive Administrative Assistance experience.
  • Associates Degree Preferred.

Job Type: Full-time

Pay: $17.00 - $22.00 per hour

Work Location: In person

Salary : $17 - $22
