Administrative Assistant
Job Summary
W are seeking a dependable, detail-oriented, and highly organized Administrative Assistant to join our team. This position plays a key role in supporting our daily office operations and project management team. Responsibilities include managing Certificates of Insurance (COIs), coordinating manpower schedules, assisting with payroll and accounts payable, scheduling inspections, organizing invoices and project documentation, and providing general administrative support.
The ideal candidate is professional, organized, able to multitask in a fast-paced construction environment, and comfortable learning new software. Experience with Microsoft Office and Adobe Acrobat is preferred.
Key Responsibilities
- Answer, screen, and direct incoming phone calls professionally.
- Prepare, request, and track Certificates of Insurance (COIs).
- Coordinate and schedule plumbing inspections, walk-throughs, and project appointments.
- Report daily manpower and employee time tracking for weekly payroll.
- Assist the Accounts Payable department by scanning, organizing, and processing invoices and supporting documentation.
- Organize daily invoices and maintain accurate project records to generate profit analyses.
- Perform data entry using Microsoft Word, Excel, Adobe Acrobat, and company software.
- Scan, upload, and digitally organize project documents, permits, and correspondence.
- Assist with general office administration and provide support to the project management and accounting teams.
- Perform other administrative duties as assigned.
Qualifications
- Previous administrative or office experience preferred (construction industry experience is a plus).
- Strong organizational skills with excellent attention to detail.
- Ability to prioritize multiple tasks and meet deadlines.
- Excellent verbal and written communication skills.
- Proficiency with Microsoft Office (Word, Excel, Outlook).
- Experience with Adobe Acrobat/PDF editing is preferred.
- Willingness to learn company software for payroll, accounting, and project management.
- Notary Public certification is a plus, but not required.
