Responsibilities
- Assist with all office day-to-day operations, including inventory of office supplies, employee call outs, notifications to managers, submission of monitoring reports and notification reports on a daily and monthly basis.
- Greeting and assisting visitors, students, and staff.
- Responding to telephone and email inquiries, scheduling appointments and interviews, and following-up on references.
- Manage and execute large and small-scale meetings, seminars, conferences and events. Proactively planning for resources and effort.
- Monitor and assist with the annual reconciliation of non-teaching professional staff evaluations and performance programs.
- Assist with new hire onboarding compliance and personnel file requirements.
- Act as liaison for patients with issues/complaints notifying respective manager.
- Process timesheets and leave requests for employees.
- Monitor compliance of all employees with University Eye Center and College of Optometry annual mandatory requirements.
- Responsible for completing all tasks /projects assigned to support the Office of the Vice President for Clinical Administration and the Chief Medical Officer.
- Participate in clinical administration support activities and special projects as assigned.
- Assist with Civil Service canvassing for open positions.
- Utilizes discretion in working with sensitive documents/information.
- Other duties as assigned.
- Bachelor’s degree or equivalent combination of education and relevant experience.
- Proficiency in Microsoft 365 Office Suite (Word, Excel, PowerPoint, Outlook).
- Previous experience in an administrative role within healthcare or higher education is desirable.
- Previous experience in a high volume, fast paced environment.

Salary : $55,000 - $60,000
