DSHS WSH Office Assistant Lead

In this job, you work under the direction of higher-level records and/or forms management staff and is a direct report to the HIMS Records Management Supervisor or designee. You will be involved with the interviewing process and provide input to the Office Assistant 3 Performance Evaluations.

The Office Assistant Lead opportunity is located at Western State Hospital in Lakewood, WA. Using your exceptional detail, multi-tasking, and organizational skills, you will ensure operations are running as smoothly and efficiently as possible while leading other Office Assistant ward staff.

Pierce County employees are eligible to receive an Orca Card for transportation needs. Opportunities performed on-site at this work location at least three days a week may be eligible for an additional 5% premium pay in addition to the advertised salary.

  • Provide real-time training, direction, and coaching to the Office Assistant 3.
  • Performs a wide variety of clerical activities and tasks in support of the hospital’s clinical staff to ensure the smooth operations of the wards.
  • Create and maintain accountability of the medical records and files.
  • Complete paperwork for patient admissions, discharges and transfers.
  • Follow established policies/procedures regarding security of the medical records.
  • Using hospital’s database systems: Cache, CDM, TRx, CRTS and WellSky.
  • Perform accurate keyboarding of documentation for the medical record such court letters, community correspondence, working treatment plans or any related documents.
  • Review all documented work of clinical staff to ensure completeness by verifying date and signatures are present.
  • Prepare and schedule initial treatment plan and ETCs, updated treatment plans and input dates of completed ETCs and treatment plans in Cache.
  • Ensure that all patient records have a current Court Order filed in their medical chart following the GOR working chart order.
  • Conduct regular ward chart audits to ensure correct patient information.
  • Conduct receiving and sorting of incoming ward and patient mail and delivery of outgoing ward and patient mail to the center’s designated mail area.

  • A high school diploma/GED AND two years’ of clerical experience including experience directing the work of others.


Skills and Abilities:

  • Ability to provide accurate and clear written communications both electronically and verbally.
  • Punctual and responsible.
  • Ability to work with challenging individuals.
  • Effectively communicate with management, peers, residents, and the public as needed.
  • Able to work in a team and alone.
  • Able to read and follow policies and procedures.
  • Ability to type 40 wpm.
  • Knowledge of Microsoft Office programs.
