The Utah State Library is seeking a highly organized and detail-oriented professional to serve as our Book Buzz Coordinator. This role is the operational backbone of our book club lending program, ensuring that book sets are processed, scheduled, and delivered to readers across the state. The ideal candidate will blend technical library skills with a passion for logistical precision and providing top-tier customer service to our patrons. Key Responsibilities
As the Coordinator, you will manage the physical lifecycle of book sets and the administrative systems that keep the program running.
- Program Logistics: Manage the Book Buzz calendar; schedule and fulfill requests from patrons and book clubs across Utah.
- Technical Processing: Receive and process all incoming book sets, ensuring items are shelf-ready and properly prepared for circulation.
- Public Relations: Act as the primary contact for Book Buzz. You will resolve patron issues, build professional relationships, and assist the Marketing and Outreach Manager with promoting program awareness.
- Administrative Support: Maintain detailed record-keeping systems, generate statistical reports, and accurately update data within library databases.
In addition to the Book Buzz program, the Coordinator may be asked to assist with the library’s acquisitions process. These duties may include:
- Procurement: Creating purchase orders and ordering materials for the State Library collection.
- Financial Processing: Coding and submitting invoices for payment.
- Daily Operations: Shelving returned items and directing visitors or callers to the appropriate staff.
Minimum Qualifications:
We are looking for a proactive team player who is dedicated to a positive work environment and possesses the following:
- Exceptional Organization: You can manage complex scheduling and administrative workflows with precision.
- Customer Service Excellence: You communicate clearly and positively verbally and in writing, whether resolving a scheduling conflict or helping a patron navigate the program.
- Technical Savvy: You are proficient with Google Workspace, Microsoft Office, and are familiar with library software such as Koha and online database management.
- Adaptability: You remain flexible and are willing to pivot between logistical coordination and administrative support.
- Prior library experience or a background in technical services.
