This position is located at the SC Department of Behavioral Health and Developmental Disabilities (BHDD) - Office of Mental Health, Santee-Wateree MHC, 801 N. Pike West, Sumter, SC 29153.

Under general supervision of the Office Manager and Clinic Director, you will assist with the daily administrative functions of the Sumter Clinic. Primary responsibility insurance verification and updates, entering information into the EHR, conduct financial reviews and fee collection and deposits.

Responsibilities For The Administrative Specialist II

  • Verify insurance coverage, educate patients on coverage information and update financial platform information for payment of services rendered, process Medicaid/Medicare, Private and Tricare insurance along with necessary documentation for patient updates. Enter information into the EHR.
  • Accept collection of patient funds and setting up payment plans for clients with outstanding balances.
  • Document payments per DoFs guidelines include writing receipts to clients and noting payments on internal tracking mechanism, as well as daily balancing of all funds collected for deposit.
  • Make deposits, maintain records and submit them to the processing center.
  • Serve as primary backup for medical Records Clerk and front desk support staff.
  • Responsible for front desk staff duties such as check-in/out, answering telephones and directing incoming calls.
  • Schedule, reschedule and/or cancel client appointments with staff as needed.
  • Document all incoming packages or mail received to the clinic and/or via post office for the Sumter clinic into computerized mail log system and/or logbook.
  • Maintain fax machines, distribute incoming faxes in appropriate boxes, and ensure fax machines have adequate levels of paper and necessary supplies.
  • Copy brochures and intake materials; maintain adequate levels of all forms stored at the front desk etc.
  • Responsible for collection of Clinical surveys and monthly vehicle log sheets.
  • Adhere to requirements of SCOMH and SWMHC Corporate Compliance Plan and perform other duties as directed.

    Minimum And Additional Requirements

    • A high school diploma. Related clerical experience may be substituted for a high school diploma.
Additional Requirements:

  • Ability to operate non-adaptive vehicles.
  • Ability to complete MAPS training.
  • Travel throughout the Santee-Wateree CMHC catchment area as directed.

Preferred Qualifications

  • Bi-lingual abilities in English and Spanish (or other language) are a plus.
  • Experience working in a medical office.
