Position Summary

The Assistant to the Director & Enforcement Analyst is a key contributor to the Public Integrity Division’s mission of ensuring free, fair, and transparent elections in Ohio. This role supports enforcement and collections functions within the Election Integrity Unit and the Ohio Election Integrity Commission by processing violations, assessing fines, coordinating collections, and managing casework. Responsibilities include issuing violation notices, conducting follow-up communication with violators, reconciling outstanding penalties, and facilitating referrals to the Attorney General’s Collections Enforcement team and special counsel. The position also maintains and updates enforcement records, researches contact information for violators, and generates status and compliance reports for leadership. Additionally, the role provides administrative support to the Public Integrity Division Director and assists the Ohio Election Integrity Commission Administrator, ensuring timely and accurate enforcement of statutory requirements.

Essential Duties And Responsibilities

Enforcement & Case Management

  • Process violations and assess civil fines.
  • Issue violation notices and track follow up communication.
  • Manage enforcement casework, including deadlines, documentation, and status updates.
  • Coordinate referrals to the Attorney General’s Collections Enforcement team and special counsel.
  • Maintain accurate enforcement and collections records.
  • Use databases and online tools to locate violators with incomplete or outdated contact information.
  • Prepare reports on outstanding fines, collections, and enforcement trends.

Administrative & Operational Support

  • Provide administrative support to the Public Integrity Division Director.
  • Assist the Ohio Election Integrity Commission Administrator with case preparation, scheduling, and documentation.
  • Draft correspondence, forms, and notices relating to enforcement matters.
  • Maintain organized recordkeeping systems and ensure confidentiality of sensitive information.

Communications & Stakeholder Coordination

  • Serve as a point of contact for violators regarding fines, notices, and compliance requirements.
  • Communicate with internal and external stakeholders, including legal counsel and government partners.
  • Ensure professional, timely, and accurate responses to inquiries.

Compliance & Policy Support

  • Ensure enforcement actions comply with relevant laws, rules, and administrative codes.
  • Assist in implementing enforcement procedures and workflow improvements.
  • Follow agency policies regarding confidentiality, accuracy, and record integrity.

Other Duties

  • Support special projects and initiatives within the Public Integrity Division.
  • Perform additional duties as assigned to further the mission of the agency.

Minimum Qualifications

Education

  • Required:
  • Bachelor’s degree from an accredited college or university.
  • Preferred:
  • Coursework or degree in criminal justice, legal studies, business administration, or public administration.

Experience

  • Required:
  • Excellent written and verbal communication skills; strong attention to detail and ability to manage multiple enforcement cases simultaneously; at least 24 months of professional experience with Microsoft Office Suite.
  • Preferred:
  • Experience in collections, enforcement, or investigative case management; familiarity with government enforcement procedures or Attorney General collection processes; experience handling confidential or sensitive legal or financial data.

Knowledge, Skills & Abilities

Knowledge

  • Knowledge of applicable Ohio laws, administrative rules, and regulatory requirements relevant to enforcement activities.
  • Understanding of database systems, electronic recordkeeping, and case management processes.
  • Familiarity with confidentiality standards, sensitive data handling, and government compliance procedures.

Skills

  • Strong written and verbal communication skills for clear, professional correspondence.
  • Proficient use of Microsoft Office 365 (Word, Excel, Outlook, Teams) and ability to learn specialized systems.
  • Effective organizational skills to manage multiple priorities, cases, and deadlines.
  • Analytical and problem-solving skills for reviewing case information and identifying compliance issues.

Abilities

  • Ability to interpret and apply laws, rules, and procedures accurately.
  • Ability to build and maintain professional relationships with internal staff, external partners, and the public.
  • Ability to exercise sound judgment, maintain accuracy, and uphold confidentiality.
  • Ability to work independently and collaboratively in a fast-paced enforcement environment.
