We are looking for an organized and detail-orientated temporary Administrative Specialist II skilled in managing and prioritizing multiple tasks efficiently. This role requires meticulous attention to detail to ensure documents are error-free and professional, as well as the ability to prioritize tasks and manage multiple responsibilities efficiently. Strong communication skills are also essential for coordinating with management, project managers, and colleagues to ensure smooth operations.
As an Administrative Specialist in the Project Management Unit, you will be a key player supporting the human resources needs of the unit, as well as processing invoices for payment. This is a fast-paced environment in which the candidate must be able to adapt to changing priorities and requirements accurately, quickly, and efficiently.
Your Responsibilities As The Temporary Administrative Specialist II Include
High school diploma or General Educational Development (GED) diploma and four years of related administrative experience; or equivalent combination of education and experience.

Your Responsibilities As The Temporary Administrative Specialist II Include
- Support all Human Resource needs of the unit including:
- Accurately compile all personnel documents and execute actions for hiring, promotions, reallocations, separations, and leave of absences.
- Maintaining personnel files, position numbers, position descriptions, unit organizational chart, unit directory, and employee work schedules.
- Handle sensitive information with integrity and professionalism
- Answer employee inquiries about policies, benefits, travel, expenses, and other HR related items.
- Ensure compliance with applicable laws and policies.
- Process invoices for payment and assist with setting up contracts with Private Engineering Firms.
- Manage records retention, archival, and disposal activities.
- Maintain accurate reports for management (i.e., vacancy, personnel action, performance evaluation status).
- Experience with office administration skills associated with organizing meetings, managing confidential documents, and organizing and prioritizing work to accurately complete tasks and meet deadlines.
- Experience in Microsoft Word, Excel, PowerPoint, Teams, and Outlook.
- Experience communicating Human Resource laws and policies to employees including answering questions staff may have on benefits and processes.
- Experience reviewing work for errors, verifying data entries, and ensuring all required details are captured and handled properly to consistently produce error-free work.
- Experience creating purchase orders and processing invoices.
