The duties that the incumbent of the vacancy will be expected to perform. Duties Description The New York State Office of Mental Health (OMH) is recruiting to fill an Administrative Assistant 1, Grade 11, position assigned to Division of State-Operated Children’s and Adult Services located in Albany. Assigned to the Sustained Engagement Unit, the selected candidate will be responsible for a variety of duties that provide the appropriate level of day-to-day administrative support necessary to efficiently and effectively manage the unit. Specific duties to be performed include, but are not limited to, the following: • Run and maintain recurring program reports related to service engagement and follow-up.• Complete audits related for service utilization and referral accuracy. • Regularly back up and organize data across shared tracking systems.• Complete client database checks.• Provide scheduling for team meetings and Case Conferences.• Assist with onboarding and offboarding of staff, including database and RHIO access, equipment and access setup.• Process routine program invoices and RFPs.• Maintain calendars, shared documents, and supply inventory.• Contribute to internal workgroups or projects.

The minimum qualifications required for this vacancy. Minimum Qualifications Non-Competitive Appointment: Candidates must have two years of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration. Transfer: Candidates must have permanent status as an Administrative Assistant 1, Grade 11, and be eligible for lateral transfer; OR be eligible to transfer via Section 70.1 of the Civil Service Law.

For the duration of NY HELPS, this title maybe filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply. At a future date, it is expected that employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.
