Why does the job exist?

Office Support Clerks have responsibilities that often change daily with the needs of the specific job and the employer. They perform a range of general office/clerical tasks requiring general office skills, plus a comprehensive knowledge of policies and procedures. Tasks include preparing and processing documents, creating and/or maintaining record keeping systems, and copying and collating documents. Other tasks may include, but are not limited to, proofreading, filing, keyboarding, data entry, operating office equipment, processing mail, ordering and distributing supplies, bookkeeping duties, processing payroll and accounts payable/receivable, assisting the public and others to locate and view or assemble filmed, scanned, or archived documents and/or information. Office Support Clerks may also perform more complex responsibilities such as reviewing incoming memos, submissions, and reports to determine their significance and to plan for their distribution. They provide the public and others with information and assistance in completing forms and applications. Office Support Clerks may also maintain calendars, schedules, and coordinate appointments, meetings, training, facilities, and other activities and assist in the training of vendors and new employees and ensure an adequate supply of materials by ordering, receiving, inspecting, and storing equipment, merchandise, commodities, materials, and/or supplies. In addition, Office Support Clerks answer telephones, route and screen calls, greet visitors, respond to inquiries from the public, and provide information about the organization. Some are responsible for the coordination of all mail into and out of the office. In addition, they contribute to the security of an organization by helping to monitor the access of visitors, a function that has become increasingly important. They provide high-level administrative support for an office and for top executives of an organization. Office Support Clerks plan, coordinate, and direct a broad range of services that allow organization to operate efficiently. This can include coordinating space allocation, facilities maintenance and operations, and major property and equipment procurement. They also may oversee centralized operations that meet the needs of multiple departments. Office Support Clerks may ensure that contracts, insurance requirements, and government regulations and safety standards are followed and up to date. In addition, they may examine energy consumption patterns, technology usage, and personal property needs to plan for their long-term maintenance, modernization, and replacement.
How does it get done?

Will provide office support such as employee travel reimbursement, invoice payments, opening and closing files, procuring office supplies, etc. in a professional manner and within specified deadlines.

Will provide reception support, screening incoming calls, greeting and responding to public needs.

Will provide FACTS support by entering and researching past due payments.

Will perform other duties as assigned by supervisor.
Minimum Qualification

No prior experience or training required.
Employment Requirements

Must possess and maintain a valid Driver's License. Pre-employment background investigation is required and is conditional pending results.
Working Conditions

Work is performed in an office setting with exposure to Visual/Video Display Terminal (VDT) and extensive personal computer and phone usage. Some sitting, standing, bending, and reaching may be required. Direct client interaction and some travel may be required.
