The Missouri Vital Enterprise Resource System (MOVERS) is a statewide modernization initiative transforming Missouri’s core administrative infrastructure from fragmented legacy systems to a unified, cloud-based ERP environment. The Executive Assistant provides high-level, proactive administrative and operational support to the MOVERS Program Executive. This role is essential to ensure the Program Executive can effectively lead governance, cross-branch coordination, fiscal oversight, and strategic execution of this multi-year ERP transformation.

This position requires exceptional organization, discretion, communication skills, and the ability to thrive in a fast-paced, high-visibility environment involving senior leadership across state government.

The salary indicated represents a base pay rate. If the individual selected or the position is eligible for a pay difference (e.g., shift, security, or years of service), it will be added to the total compensation in your paycheck. A pay differential does not rais your base pay.

Responsibilities - What you’ll do
Administrative & Operational Support
  • Manages the Program Executive’s calendar, meetings, priorities, and daily workflow to ensure efficient use of time and alignment with program objectives.
  • Provides administrative support to leaders across the project.
  • Coordinates complex and high-level meetings with executive, legislative, and judicial stakeholders, including scheduling, logistics, agendas, materials, and follow-up actions.
  • Prepares, proofreads, and edits executive-level correspondence, briefing documents, presentations, and reports.
  • Maintains accurate documentation and records for governance activities, decisions, escalations, and program communications.
  • Assists with tracking deliverables, deadlines, and high‑priority initiatives to ensure timely completion.
  • Supports day-to-day project operations by anticipating needs, resolving issues proactively, and facilitating communication across program teams.
Governance & Program Support
  • Provides administrative support for enterprise governance meetings, including planning schedules, coordinating participants, preparing materials, drafting minutes, and documenting decisions.
  • Helps maintain transparency of program activities through organized documentation, version control, and consistent communication.
  • Assists the Program Executive in preparing reports and status updates for the Office of Administration, Governor’s Office, and senior leadership across state government.
  • Facilitates information flow across agencies, vendors, and program teams to support effective decision-making.
Stakeholder Coordination
  • Serves as a primary point of contact for the Office of the Program Executive, managing inquiries, coordinating communications, and ensuring timely routing of information.
  • Supports enterprise stakeholder engagement efforts, including organizing briefings, preparing materials, and coordinating outreach activities.
  • Builds professional relationships with agency leaders, vendor partners, and internal staff to foster collaboration.
Fiscal, Contract, & Performance Support
  • Assists with organizing and maintaining documentation related to budget monitoring, fiscal reporting, contract administration, and vendor performance tracking.
  • Helps coordinate meetings and materials related to financial oversight, performance management, and risk/issue escalation.
Program Logistics & Special Projects
  • Plans and coordinates program-related events, workshops, and enterprise meetings
  • Support special projects and initiatives by conducting research, compiling information, and preparing summaries as needed.
  • Manages sensitive information with discretion and maintains a high level of confidentiality.
Qualifications - All you need for success Minimum Qualifications:
  • Three or more years of experience providing administrative support, including support for senior or executive-level leadership.
  • Strong organizational skills with the ability to manage multiple priorities, meet deadlines, and maintain attention to detail.
  • Proficiency with office software such as Microsoft Outlook, Word, Excel, PowerPoint, and collaboration tools.
  • Excellent written and verbal communication skills, including experience preparing professional correspondence and documents.
  • Ability to work with discretion and maintain confidentiality when handling sensitive information.
  • Demonstrated ability to work independently, take initiative, and anticipate needs.
  • Experience coordinating meetings, schedules, and logistics in fast-paced environments.
Preferred Qualifications:
  • Degree in Business or a related field.
  • Five or more years of experience providing administrative support, including support for senior or executive-level leadership.
  • Experience supporting executives in government, public administration, or large-scale program environments.
  • Background working within enterprise-level initiatives, ERP implementations, or major technology/organizational transformation projects.
  • Familiarity with the State of Missouri government structure, agencies, and administrative processes.
  • Experience preparing materials for senior leadership, governance bodies, and cross-functional teams.
  • Proven ability to coordinate communication among diverse stakeholders, including executive, legislative, judicial, vendor, and agency partners.
  • Advanced skills in document organization, version control, and project coordination.
  • Experience supporting budget monitoring, financial tracking, contract documentation, and vendor management activities.
