This position is with the Office of Administration Division of Facilities Management, Design, and Construction (OA-FMDC) supporting the Employee Engagement Team within the Administrative Services Unit. OA-FMDC is committed to strengthening the State’s investments while providing a safe and secure environment through innovative design solutions and excellent customer service.

  • Prioritize excellent customer service for and develop positive working relationships with a wide and diverse network of internal and external stakeholders, including but not limited to internal teams, state agencies, state officials, contractors, and the public.
  • Operate under general supervision to execute a variety of tasks independently and act upon feedback from a variety of stakeholders for continuous improvement.
  • Coordinate with team members and FMDC leadership to facilitate a positive experience in all aspects of the career lifecycle, including recruitment, hiring, onboarding, recognition programs, and offboarding.
  • Coordinate with hiring managers and OA-HR partners to post career opportunities and interact with candidates utilizing internal applications to submit Requests to Hire (RTH) and Requests to Fill (RTF).
  • Coordinate new team member onboarding and current team members offboarding activities for the division.
  • Establish and maintain filing and record systems utilizing a variety of software applications such as Microsoft Office 365 suite, Adobe, SharePoint, Smartsheet, Qualtrics, shared drives, and other programs.
  • Oversee and ensure the accurate and timely preparation, review, processing, and archiving of a variety of fiscal, personnel, accounting, purchasing, and/or related documents.
  • Serve as the liaison for a variety of support-related functions for team members and external stakeholders including locating resources, filing paperwork, completing forms, and ensuring compliance with established guidelines and programmatic requirements.
  • Lead efforts in a variety of administrative functions, such as planning and coordinating events and accommodations for the division’s activities.
  • Assist with facilitating division-wide initiatives across multiple regions, including those related to professional development opportunities, recognition programs, career fairs, and recruitment initiatives.
  • Assist with special projects and other duties as assigned.
  • Creative self-starter with ability to communicate, collaborate, and lead with integrity in a manner that prioritizes excellent customer service, inspires trust, and builds positive rapport.
  • 4-6 years of relevant experience, or a Bachelor’s degree and 0-2 years of relevant experience. (Substitutions may be allowed.)
  • Acute attention to detail and organizational skills to ensure the accurate and timely submission of paperwork and forms, hiring activities, follow up with stakeholders, etc.
  • Excellent customer service and communication skills to build strong working relationships with individuals, teams, and partner agencies.
  • Ability to interpret and execute a wide range of feedback, directives, practices, and communication strategies.
  • Ability to prioritize and execute statistical and financial data.
  • Ability to work independently with minimal supervision to accurately and timely complete tasks.
  • Resourceful in finding the best use of budget dollars, time, and teams to help accomplish goals.
  • Ability to handle confidential or sensitive information with a high degree of discretion and detail.
  • Excellent time management, organizational, and planning capabilities to manage multiple competing priorities and objectives.
  • Possess and maintain a valid driver’s license from Missouri or from an adjacent state if you reside outside of Missouri.

Preferred Qualifications:

  • Training, certification, and/or education in continuous process improvement programs such as Lean Six Sigma, as well as completion of Missouri Way, Leadership Academy, and similar programs.
  • Working knowledge of HireTrue, Qualtrics, and MOVERS Learn.
  • Prior experience in recruiting and onboarding activities, administrative support, and/or high-volume clerical work.
  • Prior experience handling confidential or sensitive information with a high degree of discretion and detail.

Successful background check results are required for employment in this position. This may include background checks involving a candidate's name and/or fingerprints and other screenings as needed for the specific position. Authorization to work in the United States is a prerequisite of employment. The Office of Administration will not sponsor applicants for work visas. The salary indicated represents a base pay rate. If the individual selected or the position is eligible for a pay differential (e.g., shift, security, or years of service), it will be added to the total compensation in your paycheck. A pay differential does not raise your base pay.


This position is in an office environment, and job duties may include prolonged periods of seated work at a desk, typing, written and verbal communication, problem solving, and the occasional ability to lift/carry up to 50 pounds. This list is not all inclusive, but a general representation of duties that may be encountered in this position; however, other duties may be assigned contingent upon business needs. Please note, this position is considered a “Category 0” under the Fair Labor Standards Act (FLSA), meaning the incumbent will not normally receive overtime compensation except in unusual circumstances as determined by appointing authorities.
