Job Summary

**Employees may telework up to 50% or more, depending on the position and the needs of the division.

This position provides technical support and coordination, compliance and facilitation for the division’s investigative data and physical evidence records. This position supports the release of fire investigation records in response to public records requests, subpoenas, and court proceedings, while maintaining the confidentiality and privacy of individuals depicted. This position ensures that the State Fire Marshal (SFM) division remains in strict compliance with the Minnesota Government Data Practices Act, state records retention statutes and evidence retention statutes.

Qualifications

Minimum Qualifications

This position requires a minimum of two (2) years of professional experience in administrative program management, legal support, or records management. Experience must include the ability to:

  • Review inquiries or requests and gather pertinent information and data from stakeholders.
  • Create, analyze, and quality check legal documents to make recommendations to leadership.
  • Read, comprehend, and apply existing policies, procedures, and statutes to information and data.
  • Customer service skills sufficient to communicate promptly, professionally, and accurately with contractors, vendors, and the public.
  • Proficiently manage data entry, information retrieval, and automated correspondence within specialized platforms (i.e., ImageTrend, GovQA).
  • Work under general supervision; be able to work independently and meet deadlines.
  • Ability to work cooperatively with individuals from diverse backgrounds and underserved communities.

Preferred Qualifications

  • Previous experience in handling data practices requests, such as reviewing data requests, redacting non-public information, or other experience with MN Statute Chapter 13 data practices.
  • Previous experience in evidence tracking, monitoring or related programs.
  • Advanced experience with Microsoft Office suite.
  • Experience with specialized software programs such as IQIES, Paradise, and ACO (or similar database management systems).
  • Previous experience in performing administrative reviews of public safety (i.e. fire, law enforcement, EMS) investigative reports.

Physical Requirements

Light: Requires occasionally moving and transporting such articles as file boxes and heavy hand tools or heavier materials with help from others, and moving and transporting light objects frequently. Even though the weights being moved and transported may be a negligible amount, a job in this category may require positioning self to move to a significant degree or may involve maintaining a stationary position for extended periods.
