The Alumni Relations Officer serves as the operational and communications anchor for the Office of Alumni Affairs. Reporting to the Director of Alumni Development, this position ensures efficient day-to-day departmental operations by managing timelines, workflows, and administrative priorities, while cultivating alumni relationships and leading engagement initiatives across digital and face-to-face experiences. This is a hands-on role best suited for a professional who is organized, personable, creative, and comfortable moving between detail-heavy administrative work and in-person relationship building.

Required Qualifications:
· Education - Bachelor's Degree in relevant or related academic field from a regionally accredited college or university. LSUS values skills, experience, and expertise. Candidates who have relevant experience in key job responsibilities are encouraged to apply – a degree is not required if the candidate possesses applicable years of experience.
· 1–3 years of experience in alumni relations, development, event coordination, customer service, or a related field.
· Strong written and verbal communication; applicants should be comfortable representing the Office of Alumni Affairs and Alumni Association in professional settings.
· A working knowledge of databases or CRM systems and standard office software.
· Applicants should have the ability to manage multiple deadlines, work occasional evenings or weekends for events, and maintain accuracy in detail-heavy tasks.
· Valid driver’s license and the ability to travel regularly for off-campus alumni events. (May be obtained within 6 months of employment)
Preferred Qualifications:
· Experience in communications, public relations, business, or alumni relations.
· Strong public speaking skills.
· Experience with creative applications and design software (Canva, Adobe CC, Mailchimp).
· Ability to work independently.

Physical and Environmental Demands:
Standard work hours are 8:00 AM – 4:30 PM, Monday through Friday, primarily in an on-campus office setting with some local travel to event venues. Occasional evening and weekend work is required to support signature alumni events and programs. Some lifting (up to 25 lbs) may be required for event setup and materials transport.
Job Duties:
Perform job-related duties as assigned, including but not limited to the areas described below.
· Communications & Digital Presence: Under the Director’s review, draft and schedule alumni communications, newsletters, event invitations, award notifications, and membership campaigns. Plan, create, manage and distribute digital content, social media assets, and promotional material that positively impact alumni engagement. Use content calendars, post schedulers, and performance trackers to assess the effectiveness of outreach. Maintain the association website and alumni engagement platform, regularly updating digital presences across various platforms.
· Database & Records: Maintain and update alumni records across multiple databases, ensuring data security. Oversee list hygiene and build targeted audience segments.
· Event Coordination: Attend alumni events and coordinate logistics such as event promotion, reservations, catering, vendor communication, RSVPs, signage, day-of setup, and post-event breakdown.
· Administrative & Board Support: Maintain shared calendars, planning documents, checklists, inventory, and office files. Track deadlines for events, board meetings, campaigns, and vendor needs; prepare agendas, board packets, meeting materials, and follow-up documentation. Provide scheduling and correspondence support to the Director as needed.
· Partner Liaison & Reporting: Serve as a departmental representative by exploring engagement opportunities with campus and community partners, escalating strategic or sensitive matters to the Director. Coordinate volunteers, assignments, reminders, and follow-up. Track membership growth, event attendance, and engagement metrics, and assist in preparing reports. Promote and foster productive constituent relationships through written communication and personal contact.
