Position Summary & Responsibilities

Position Summary: This position coordinates and prepares all documents concerning resident releases via Parole Guidelines, Conditional Release and Maximum Release in accordance to Kansas Administrative Regulations, Chapter 44-6. To coordinate and prepare all documents pertaining to the detainer process. To be a liaison with other law enforcement agencies (Federal, State & Local) in regard to the above process.


Job Responsibilities may include but are not limited to the following:

Receives detainer warrants from various agencies, Prepares and processes Detainers by completing one or more of several different forms and sends a copy to the respective resident and departments.; also places appropriate documents in the master file, Enters detainer information into Athena. Receives Form 9's requesting Uniform Disposition of Detainer Act (180 day writs) and forwards copies by certified mail to district court and attorneys and provides copy to resident. Maintains a log of request disposition of Detainers sent to outside sources. The incumbent also contacts detaining jurisdictions upon resident receiving a release to establish a date and time for pickup. Files paperwork into the resident master file according to policy and procedure. Daily prepares and assembles documents which may include detainers, court orders and out of state contacts into the prescribed format for imaging and placement into the Resident Master Files.

Upon receipt of Release Certificate and related documents. The incumbent is responsible for assuring there are not active detainers. Upon verification, initiates the following:

  • Stores the packet until the day prior to the release date.
  • Checks the records for victim notification, detainer information and personal property.
  • On the day prior to release, prepares all appropriate release documents and incorporates them into a release packet.
  • Forwards the release packet to the appropriate staff.

Distributes sentencing guidelines release list on a weekly basis and updates daily. Initiates pulls and interprets all NCIC (III) reports for warrant wants and possible Detainers prior to release date and for six month and sixteen month out release planning, Contacts the appropriate authorities in the location of any active detainer found and arranges for pick up.

The incumbent is responsible for notifying the KDOC Victim Coordinator, in accordance with established policy, (IMPP 03-108) of residents scheduled for the following type of releases:

  • Sentence Guidelines Release
  • Conditional Release
  • Board Parole
  • Max Release
  • Escapes
  • Deaths

A 30-day ongoing list is maintained on all above releases and is sent to the Victim Coordinator's office monthly or under special circumstances. The incumbent also maintains a log of above lists. Creates a "master record" on all residents released from LCF.


Qualifications

Minimum Qualifications: One year of experience in general office, clerical, and administrative support work. Education may be substituted for experience as determined relevant by the agency.

Preferred Qualifications: High School Diploma or GED Equivalent. Computer experience with excel and word.

Post-Offer, Pre-employment Requirements: Must take and pass a drug screening test approved by the Division of Personnel Services unless the incumbent is moving from one safety-sensitive position within the same agency performing substantially similar duties. May be required to pass a background check.
