Your Specific Responsibilities

This individual will be responsible for working in a team environment to provide Information Technology purchasing and business planning support to the Florida Department of Health in Miami-Dade. Incumbent reports directly to the Director of Information Technology.

Responsible for managing the Information Technology Purchasing process. Duties include researching technology products, identifying and selecting vendors, and obtaining quotes.

Responsible for submitting purchase requests into the Ariba MyFloridaMarketplace system.

Requests invoices from vendors, processes invoices and related paperwork, and submits them to Accounts Payable.

Follows up with vendors regarding delayed shipments, purchasing discrepancies and/or product returns.

Works with local budget office to clear up any financial encumbrance issues throughout and especially towards the end of the fiscal year.

Works with local and state financial management offices regarding billing and payment issues on submitted purchase requests.

Responsible for completing and submitting Contractual Services Agreement forms for purchases submitted via the Office of Information Technology.

Responsible for completing and submitting Commodities Receiving Reports for purchases submitted via the Office of Information Technology.

Documents work and purchases using the Footprints service desk system. Responsible for reviewing all purchasing ticket status queues daily and taking action upon all requests accordingly.

Is the Office of Information Technology’s purchasing cardholder. Completes related transactions and required documentation within the required deadlines.

Incumbent will provide remote and on-site end-user technical assistance to employees including, but not limited to, computer hardware, peripherals, application software, electronic office productivity tools and email. Logs into Service Desk Phone System to handle Help Desk calls.

Performs other related duties as assigned.

Required Knowledge, Skills, And Abilities

  • Position requires the ability to perform duties based upon relevant work experience and proper organization of work-related activities.
  • Project Management - Demonstrated ability to plan, lead and manage projects from inception to completion.
  • Business Analysis - Understands business needs, technology and capable of articulating requirements via charts, diagrams and written documents.
  • Business technology - Has a foundation in various business platform, applications and technology. Able to develop work products that automate business processes through information technology.
  • Application software - Proficiency with Microsoft Office suite, Microsoft Outlook email, Microsoft Internet Explorer and Adobe Acrobat.
  • Demeanor - Possesses strong customer services skills and is able to work professionally with stakeholders.

Qualifications

Minimum –

Experience with end-user technical support, willing to work after hours on-call support, including weekends, based on agency/unit needs.
