WORKING TITLE: ADMINISTRATIVE ASSISTANT I

This open competitive advertisement is for a Career Service position located at Panama Circuit Office 14-5.

Our mission in the Florida Department of Corrections is to provide a continuum of services to meet the needs of those entrusted to our care, creating a safe and professional environment with the outcome of reduced victimization, safer communities and an emphasis on the premium of life.

This position is not a telework position and is required to report to the FDC office in the area it serves.

JOB DUTIES:

  • Meeting Minute Management: Record, transcribe, and distribute concise meeting minutes for the Circuit Administrator and Deputy Circuit Administrator.
  • Document Preparation: Draft standard operating procedures, administrative decisions, and procedural memoranda for review and approval by the Circuit Administrator and Deputy Administrator.
  • Telephone System Management: Manage a multi-line telephone system by answering calls promptly, screening and transferring calls appropriately, and documenting messages for distribution.
  • Confidential Correspondence: Type and arrange correspondence as dictated by the Circuit Administrator, including composing confidential letters and providing technical assistance.
  • Event Coordination: Maintain a calendar of events for the Circuit Administrator and Deputy Circuit Administrator, including training events, seminars, meetings, conferences, field visits, and interviews.
  • Data Analysis and Reporting: Compile and analyze information to formulate administrative recommendations, prepare quality management tools, and create charts and graphs for data-driven decisions.
  • Budget Monitoring: Collect and monitor budget information and expenditures for field offices, including travel expenses, supplies, equipment, and postage.
  • Public and Staff Interaction: Interact courteously with the public and field offices to answer questions about rules and policies, compile data for monthly and annual reports, manage daily mail distribution, and coordinate office supply procurement.

BACKGROUND SCREENING REQUIREMENT

The Florida Department of Corrections requires all job applicants and volunteers to pass a Level 2 background check as per Chapter 435, Florida Statutes. This check must be completed before they can start working or volunteering.
