Position Highlights
  • Located at CTECS Central Office, Hartford, CT
  • Full-time, 40 hours/week, first shift
  • Schedule, Monday - Friday, 7:30 AM - 4:00 PM


The Role
This position will provide administrative and technical support to the School Improvement team, reporting to the Director of Accountability and School Improvement. As a member of this team, you will help to fulfill the mission of CTECS and the success of students through supporting data systems that support improvement. This role is critical for ensuring data is being tracked and entered on various platforms including PowerSchool, Frontline, PSIS, and admissions. This position will also be responsible for compiling and distributing school and district level data to administrators. This is a critical position to ensure that deliverables are met for Central Office, the district, and the State.

For over 100 years, the Connecticut Technical Education and Career System (CTECS) has been the leading force in Career Technical Education (CTE) in the State of Connecticut; preparing students to meet the skilled workforce needs of employers. CTECS operates 17 diploma-granting technical high schools, one technical education center, and two airframe mechanics and aircraft maintenance programs.

CTECS serves approximately 11,200 full-time high school students across 31 in-demand CTE programs, providing hands-on training in state-of-the-art classrooms designed to mirror real-world workplaces. Students follow a unique schedule alternating between career and technical education and traditional academics, ensuring they graduate with the knowledge and skills needed for success. Graduates earn a Connecticut high school diploma, CTE certificate in their field of study, and multiple stackable credentials giving them the “competitive edge.” These credentials include but are not limited to state occupational licensure, national technical skill competency certifications, and industry-recognized credentialing. Many students secure job placements before graduation, while others continue their education at colleges, universities, or registered apprenticeships.

PURPOSE OF JOB CLASS (NATURE OF WORK)
In a state agency this class is accountable for independently performing the most complex tasks in carrying out and maintaining a complex clerical processing service having a statewide impact. Services which have a statewide impact are defined as services which directly reach and assist members of the general public.


EXAMPLES OF DUTIES
  • Performs the most complex duties related to an agency’s clerical processing functions;
  • Examines incoming materials for accuracy, completeness and conformance to state statutes and regulations;
  • Makes corrections and/or additions;
  • Devises follow up procedures to efficiently and effectively carry out activities;
  • Initiates and maintains communications with a wide variety of resources to verify information and complete transactions including other state employees, offices and outside officials such as attorneys, judicial and social welfare officials or representatives;
  • Interprets and applies state statutes and regulations relating to the particular processing service;
  • Makes decisions as to case status, transaction permissibility or admissibility;
  • Responds to internal and external inquiries for information and assistance;
  • Sets up and maintains office procedures, filing and indexing systems and forms for office use and to meet recurring needs;
  • Maintains calendars of due dates and initiates recurring work or special clerical projects accordingly;
  • Maintains records and logs;
  • Prepares status or statistical reports related to processing function;
  • Assists in maintaining general files in support of processing function;
  • Initiates correspondence in carrying out duties;
  • Types correspondence, forms, file documentation, etc. in support of processing function;
  • May process fees and maintain financial records;
  • May lead lower level clerical employees assisting in carrying out processing responsibilities;
  • Performs related duties as required.

Minimum Qualifications - General Experience
Three (3) years of clerical work experience.


Minimum Qualifications - Special Experience
One (1) year of the General Experience must have involved a full range of clerical duties.

NOTE: For state employees this experience is interpreted at the level of an Office Assistant or Interpreter Clerk.


Minimum Qualifications - Substitutions Allowed
College training may be substituted for the General Experience on the basis of fifteen (15) semester hours equalling one-half (1/2) year of experience to a maximum of two (2) years.


Preferred Qualifications
  • Experience performing data processing tasks using Excel and Google Sheets
  • Experience handling confidential, proprietary, and other restricted data in accordance with security requirements
  • Experience communicating and resolving issues with internal and external stakeholders
  • Experience demonstrating flexibility in adapting and responding to competing priorities
  • Experience using Microsoft Teams, Google Meet, Zoom, and other online communication platforms
