Job Summary
This position will provide continuity of care and clerical and organizational support to the Nursing Department and within the Home, and for all residents.
The Ward Clerk will arrange all resident appointments, create and track lab requisitions stemming from physician orders, create and organize in-house clinic appointments, copy all orders from Clinic, outside appointments, faxes or telephone orders to nursing and tracking.
Request medical records from outside providers and setting up referrals and other actions from said orders, answer incoming nursing lines, schedule appointments and track resident histories and physicals, create and update forms as necessary, order and maintain office supplies for nurses' stations,
Supervise driver's tasks and schedule and serve as the driver's backup when the driver is unavailable, maintain resident packets to include insurance information, demographics, progress notes, and physician order forms for medical appointments.

Job Duties
- Administrative function: Arrange resident medical appointments and set up all transportation, confirm appointments, prepare paperwork for packet/appointment, tracks packets upon return to facility for orders, progress notes and future appointments. Track all appointments including procedures and test results, create and update daily run list for driver and set up referrals. Answer incoming nurses lines and page/transfer calls to the appropriate person. Maintains office supplies for all nurses' stations, deliver messages to residents and nursing staff
- Clinic functions: Create clinic lists and clinic slips and distribute to nursing units. Provide necessary information to Nurse in Charge of Clinic, review all orders resulting from Clinic, complete orders and distribute to the appropriate nurse. Follow up with any orders for future clinic appointments and schedule/track annual resident histories and physicals
- Patient care/customer service function: Provide excellent customer service to residents, staff, and physician offices. Obtains all medical information required by nursing and physicians in an effort to create efficient and effective medical treatment and continuity of care. Create lab requisitions for incoming lab orders and track completion and results of lab orders. Send/fax completed lab results to the appropriate physician, distribute copies to the resident's nurse, troubleshoot issues that may arise with coding/billing
- Resident Rights/Confidentiality: Maintain confidentiality of all resident medical information while treating all residents fairly and with kindness, dignity and respect; report all allegations of resident abuse or misappropriation of property, report resident complaints or grievances to the appropriate party for resolution
- Travel functions: Creates the “Run List” for the driver each day and updates/revises the run list as needed; coordinates resident medical appointments with the driver, assist with transfers to and from the emergency room or hospital. Assigns tasks for driver during down time and supervises the completion of those tasks
- Safety: Follows established safety regulations in the use of equipment and supplies; assists in maintaining work area in a clean and sanitary manner; participates in fire and disaster preparedness drills; assists in the infection control program as directed and follows established infection control procedures and precautions as necessary; participates in all required trainings and follows established procedures in the use of personal protective equipment and reports unsafe conditions to appropriate personnel for correction; carries out other duties as assigned

Knowledge, Skills & Abilities (KSAs):
- Knowledge of standard nursing practices and procedures
- Have hands on knowledge of assisted living facilities
- Complex medical office procedures and practices
- Medical file research methodology
- Medical terminology and coding
- HIPAA
- General clerical tasks including data collection and entry, research, organization, report preparation and various computer programs, including Google and the Microsoft Office suite
- Exceptional organizational skills
- Demonstrate professionalism in all forms of communication and interactions
- Be tactful and patient and willing to handle difficult situations
- Make independent decisions when warranted
- At least three years experience in medical back office experience, including medical records
- Preference for coding and medical records experience and/or certification
- Level 1 fingerprint clearance card
- State of Arizona drivers license
- First Aid, CPR
